The role

The Program Assistant supports the planning, coordination, and execution of Mission Bit’s programs by managing logistics, communications, and administrative processes that ensure smooth day-to-day operations. Responsibilities include supporting student success and enrollment, coordinating and moderating workshops and events, preparing program materials, tracking data and metrics, and assisting with outreach, recruitment, and special projects across the Programs team.

This is a hybrid, part-time, one-year temporary role based in San Francisco, CA. In-person work is required roughly 3 times a week, depending on the program schedule. In-person work will include travel to the office and around San Francisco. You must live in the San Francisco Bay Area to be considered for the role.

Schedule

  • Monday through Thursday, some Fridays or weekends occasionally required
    • Typical shift length is 5-7 hours, between business hours of 9:00 AM - 7:00 PM. Evening shifts twice a week are required
    • Hours may vary based on the semester and organizational needs. Flexibility to adjust the schedule as needed.
  • 25 hours/week

Duration

  • 12 months from the date of hire

What you’ll be doing

  • Assist in all aspects of student success, including collecting forms, tracking attendance, and collecting feedback
  • Assist in finding opportunities and events to share in the Alumni Network newsletter and LinkedIn group
  • Assist the Director of Programs in scheduling and coordinating workshops
  • Moderate virtual and in-person workshops and events
  • Support recruitment efforts for events, workshops, and other programs
  • Assist with student admissions and enrollment processes for classes
  • Prepare program materials (agendas, slide decks, handouts) in advance of each program or event
  • Support basic analysis of program metrics (e.g., attendance trends, participant demographics) to help inform continuous improvement
  • Draft and send routine communications (e.g., instructor reminders, student surveys, partner updates)
  • Assist in tracking program materials and office inventory
  • Assist and lead special projects as needed, ensuring they align with organization goals
  • Other related duties as needed to keep the Programs team running smoothly

Requirements

We’d love to hear from you if you have…

  • Have at least one year of experience in program work, administrative support, or youth-focused operations (examples include camp counselor coordinator, afterschool program staff, program assistant, or event coordinator)
  • Have a passion for education and supporting youth
  • Are highly organized, detail-oriented, and comfortable using spreadsheets and CRM systems to manage data
  • Communicate clearly and confidently—both in writing and verbally—with diverse audiences
  • Thrive in a fast-paced environment and can juggle multiple priorities with competing deadlines
  • Have experience working with a diverse group of individuals
  • Share Mission Bit’s commitment to equity, inclusion, and social justice in education

It’s not required, but it’s a nice bonus if you…

  • Have worked with Salesforce, Notion, or similar tools for program management
  • Have experience coordinating with partners or facility partners
  • Are familiar with project-based learning models or afterschool STEM programs
  • Have experience working with youth from under-resourced communities
  • Are bilingual in Spanish or Cantonese
