The Production Coordinator plays a critical role in supporting efficient, on-time fabrication operations at the Kansas City facility. This position owns the production schedule and ensures clear, accurate communication of priorities, shop orders, and project requirements to supervisors and cross-functional partners.
Acting as the central coordination point between fabrication, planning, engineering, materials, customer care, and branch operations, the Production Coordinator ensures work is released in alignment with demand, material availability, and labor capacity. The role is responsible for monitoring project execution, addressing issues within Mendix and related systems, and supporting on-time performance for both SRS and catalog production.
This role requires strong organizational skills, attention to detail, and the ability to proactively manage multiple priorities to keep production running smoothly and in accordance with specifications.
 
Key Responsibilities
  • Attend all required facility meetings to ensure alignment across production, planning, and support functions.
  • Ensure timely and accurate flow of information into Mendix and communication of priorities to Production Supervisors.
  • Coordinate specialty requirements with Engineering and Training as needed.
  • Own and maintain the facility production schedule.
    • Serve as the primary point of contact for Planning and Scheduling Supervisors/Managers.
    • Collaborate closely with Buyer/Planners to align material availability with production demand.
  • Coordinate with VDC (Virtual Design & Construction), Fabrication Material Coordinator, Sales, Customer Care, and Branch teams on upcoming projects and material lead times.
  • Schedule projects appropriately and ensure all work is executed in accordance with drawing specifications within Mendix.
  • Partner with Production Supervisors, Engineering, and Training on special or complex upcoming projects.
  • Coordinate current and future production schedules with Production Supervisors, including labor requirements by schedule.
  • Monitor and address project-related issues within Mendix, working cross-functionally to drive resolution.
    • Collaborate with line leads on upcoming project and catalog work.
    • Maintain visibility to shop demand on a daily, weekly, and monthly basis.
    • Complete project kickoff documentation.
    • Support line leads with project closeouts.
    • Assist with preparation and distribution of daily production updates.
  • Manage fabrication-related correspondence and provide timely updates to all relevant stakeholders.
    • Coordinate truck scheduling and shipment timing.
  • Support branch coordination activities, including:
    • Releasing orders per schedule for picking.
    • Managing BPCS-related transactions, including:
      • Pipe inventory adjustments
      • One-step processing following shipments
      • Allocation checks
      • Order printing and resets
  • Attend weekly Production and Planning meetings.
  • Own and track on-time performance metrics for SRS and Catalog production.
  • Partner with Manufacturing Administration on runtime tracking and data entry support.
    • Manufacturing Administrators provide coverage during Production Coordinator PTO.
  • Perform Mendix BOM to BPCS order validation and coordinate discrepancies with VDC and Customer Care.
  • Create and print fabrication labels.
  • Track and manage active project orders using Victaulic ERP systems, including BPCS, QlikView, Qlik Sense, Profound, and Mendix, ensuring materials are delivered accurately and on time.
  • Review upcoming projects to confirm master data completeness.
  • Review daily runtime data in Mendix to identify errors, variances, or anomalies.
  • Receive and process all fabrication purchase orders (POs) in BPCS.
  • Serve as a point of contact for Mendix support and issue resolution.
  • Generate fabrication Bills of Lading (BOLs) using the BOL Generator.
  • Ensure consumable inventory levels are maintained and replenished as required.
    • Escalate critical supply needs to management.
  • Perform Kanban card audits.
  • Manage catalog inventory activities, including adjustments, ATOs, Kanban audits, and coordination of inventory transfers.

Qualifications
  • High School Diploma or equivalent required.
  • Experience in a manufacturing or steel fabrication environment strongly preferred.
  • Proficiency with Microsoft Windows–based applications.
  • Familiarity with standard work instructions (SWI) and standard operating procedures (SOP).
  • Solid understanding of shop math, including fraction-to-decimal conversion, and ability to use measuring tools such as tape measures, calipers, micrometers, and vernier scales.
  • Ability to read and interpret drawings and blueprints.
  • Strong written and verbal communication skills.
  • Demonstrated problem-solving abilities.
  • Ability to work independently, manage multiple priorities efficiently, and maintain a high level of accuracy and attention to detail.
