Position Summary
The Product Development Coordinator is the operational hub of our product pipeline. You will manage the flow of information, track project status, coordinate across internal teams and external partners, and ensure nothing falls through the cracks.
This is not an ideation or strategy role. This is a coordination and execution role for someone who thrives on organization, follow-through, and keeping multiple projects moving simultaneously.
You will maintain our project tracking systems, prepare materials for weekly product meetings, track RFQ processes with vendors, and serve as the central point of communication between sourcing, design, and external resources.

Works closely with: Operations, Sourcing, Creative, External Partners
Core Responsibilities
Pipeline & Project Management
- Maintain product pipeline in ClickUp — Kanban boards, project lists, status updates, and timelines
- Track all active projects and ensure deliverables stay on schedule
- Surface blockers, flag slippage, and keep cross-functional teams aligned
- Own the accuracy and completeness of project documentation
Meeting Preparation & Communication
- Prepare and maintain presentations for weekly product development meetings
- Ensure decision-makers have the information they need to make calls
- Distribute meeting notes, action items, and follow-ups
- Serve as the communication hub — everyone stays informed, nothing stalls
Vendor & RFQ Coordination
- Track RFQ processes: monitor quote status, organize responses, maintain comparison documents
- Coordinate with the sourcing team on samples, pricing, and timelines
- Maintain vendor communication logs and track progress across SKUs
- Support compliance documentation and product testing requirements
Research & Information Gathering
- Compile competitive research — pricing, features, positioning, packaging
- Gather market data and organize findings for product decision-making
- Maintain organized files of benchmarks, specs, and reference materials
Cross-Functional Coordination
- Coordinate with designers on packaging and creative asset timelines
- Work with external resources to keep deliverables on track
- Follow up relentlessly — you are the person who makes sure things get done
Requirements
Must Have:
- 3–5 years of experience in product coordination, project management, or operations within consumer goods, eCommerce, or retail
- Demonstrated experience managing projects across multiple stakeholders
- Proficiency with project management tools (ClickUp experience preferred)
- Strong organizational skills — you keep track of everything and nothing slips
- Clear written and verbal communication
- Comfort coordinating with sourcing and tracking vendor timelines
- High attention to detail and documentation accuracy
Nice to Have:
- Experience with consumer product development or sourcing workflows
- Familiarity with compliance or regulatory documentation
- Experience working with overseas vendors
- Knowledge of PIM systems
