About the role

We are looking for a Procurement & Facilities Analyst  to join our Finance team in the Americas. This role will primarily support facilities and office operations, helping ensure a well-maintained, efficient, and safe working environment.

The role will also provide operational support in procurement activities such as reviewing purchase requests, coordinating with vendors, and assisting with basic purchasing processes — always under the guidance of the Procurement & Facilities Senior Associate, to whom this position reports.

Responsibilities

  • Facilities (Primary Focus)
  1. Support day-to-day office operations to ensure a smooth and well-organized workplace.
  2. Act as a first point of contact for facilities-related needs such as maintenance requests, office supplies, seating plans, and service providers.
  3. Coordinate with building property management and external vendors for repairs, maintenance, and other facility-related matters.
  4. Assist in organizing office moves, seating arrangements, and onsite events logistics.
  5. Monitor office supplies and equipment, ensuring availability and replenishment when needed.
    Support health, safety, and workspace standards in coordination with the Senior Associate.
  6. Maintain and update a digital inventory tracker for office assets, furniture, and IT equipment to ensure accurate record-keeping.
  • Procurement Support (Secondary Focus)
  1. Assist in reviewing purchase requisitions to ensure completeness and policy alignment before escalation.
  2. Support vendor coordination, including obtaining quotes and following up on deliveries and service requests.
  3. Help maintain purchasing records and documentation.
  4. Assist in tracking procurement expenses and supporting budget monitoring activities.
  5. Collaborate with internal stakeholders to ensure smooth procurement workflows.

Requirements

The ideal candidate will have:

  1. 0–1 years of experience in facilities coordination, administrative support, procurement assistance, or a related role.
  2. Strong customer-service mindset and ability to support internal teams and external vendors.
  3. Good organizational skills with the ability to manage multiple tasks and priorities.
  4. Strong attention to detail and a proactive, problem-solving approach.
  5. Basic knowledge of procurement or purchasing processes (desirable but not required).
  6. Ability to work collaboratively as part of a team and take direction from a senior colleague.
  7. Proficiency in Microsoft Excel and Microsoft Office tools.
  8. Medium English, B1.
  9. Interest in growing and developing professionally within facilities and procurement.

Nice to have

Previous exposure to office facilities operations or maintenance coordination.
Basic familiarity with budgeting or expense tracking.
