Practice Administrator/Director of Operations

Position Summary
We are seeking an experienced Practice Administrator / Director of Operations to provide strong leadership and oversight for a growing two-location Sleep Medicine practice. This role is responsible for ensuring smooth daily operations, exceptional patient experience, financial performance, staff development, and compliance across both locations.
You will manage both clinical and administrative teams, oversee operational systems, monitor performance metrics, and lead continuous improvement initiatives. This is a hands-on leadership role that requires a balance of strategic thinking and day-to-day execution. The physician owner will work closely with you and support you in all aspects of the practice.
About the Practice
Established in 2008, we are a leading provider of sleep medicine services. Our care model is comprehensive—from initial consultation and testing through long-term management—focused on delivering the best possible patient outcomes.
We utilize modern technology to diagnose and manage a wide range of sleep disorders. Care is delivered by a physician owner and four nurse practitioners, supported by a dedicated administrative, clinical, and DME team.
Key Responsibilities
1) Practice Operations & Workflow Management
- Oversee day-to-day operations for both practice locations
- Ensure smooth workflow, scheduling efficiency, and patient flow
- Develop, implement, and monitor operational policies and procedures
- Ensure both locations are properly staffed and operating efficiently
- Oversee equipment and medical supply procurement and maintenance
- Oversee the DME (CPAP) department, staff, and operational performance
2) Financial Management & Performance
- Develop and manage the practice budget, forecasting, and reporting
- Oversee billing and coding operations to ensure accuracy and compliance
- Monitor accounts receivable and payable; improve collections and reduce aging
- Conduct regular financial reviews and present findings to the physician owner
- Identify and implement strategies to improve profitability and reduce costs
3) Compliance, Risk & Regulatory Oversight
- Ensure compliance with HIPAA, OSHA, CMS guidelines, and applicable regulations
- Maintain privacy and security standards for patient information
- Conduct routine audits and ensure readiness for inspections and reviews
- Implement safety protocols and ensure staff are trained on procedures
- Identify risk areas and drive corrective action plans
4) Patient Experience & Service Excellence
- Ensure a high standard of patient service and satisfaction
- Address patient complaints and operational issues promptly and professionally
- Ensure patient records are accurate, confidential, and compliant
- Implement feedback systems to continuously improve patient experience
5) Team Leadership & Staff Development
- Recruit, train, and supervise administrative and support staff
- Provide leadership oversight for sleep lab operations and support staff
- Conduct performance evaluations and coach staff for improvement
- Lead staff meetings and maintain strong internal communication
- Build staffing plans to ensure appropriate coverage at both locations
- Foster a positive, accountable culture focused on quality and teamwork
6) Strategic Growth & Business Development
- Partner with the physician owner to develop long-term strategic goals
- Identify opportunities for expansion, new services, and partnerships
- Monitor industry trends in sleep medicine and operational best practices
- Support marketing and growth strategies to attract and retain patients
7) Technology & Systems Management
- Oversee EHR and practice management system effectiveness
- Ensure staff are trained on systems and workflows
- Identify opportunities to improve efficiency through technology and automation
- Support implementation of new tools and operational reporting systems
Required
- Bachelor’s degree in Healthcare Administration, Business Administration, or related field
- 5+ years of experience in medical practice management or healthcare operations
- Strong knowledge of healthcare regulations (HIPAA, OSHA, CMS)
- Experience managing financial operations including budgeting and revenue cycle
- Proven leadership experience managing teams and performance
- Strong communication, organization, and problem-solving skills
- Proficiency with EHR systems, practice management software, and Microsoft Office
Preferred
- Master’s degree in a related field
- Experience in sleep medicine, pulmonary, specialty practices, or multi-location healthcare
- Experience overseeing DME operations and CPAP workflows
