We are looking for a Personal Assistant to General Manager for the 2026 season to join our team. The ideal candidate is passionate about hospitality and comfortable with challenges. He/She is willing to provide authentic and luxury experiences, demonstrating care, confidence, curiosity and community.

Reports to Area Managing Director

Main Duties & Responsabilities:

  • Executive Support: Manage the General Manager's complex calendar, scheduling appointments, meetings, and travel arrangements; Prepare and edit correspondence, presentations, and reports on behalf of the General Manager; coordinate and manage projects asassigned by the General Manager
  • Communication Facilitation: Act as a liaison between the General Manager and other hotel departments, staff, guests, and external stakeholders; Facilitate clear and timely communication within the hotel, ensuring information is disseminated effectively; Organize and prepare materials for meetings and presentations; Draft and distribute internal memos and announcements.
  • Reputation Management: Monitor and respond to online reviews and guest feedback on various platforms, maintaining a positive online presence for the hotel; Address guest concerns and complaints in a timely and professional manner, escalating issues to the General Manager when necessary; Analyze guest feedback to identify trends and areas for improvement.
  • Reporting: Prepare regular reports on key performance indicators, guest satisfaction, and other relevant metrics; Gather and analyze data to support decision-making by the General Manager; Maintain accurate records and documentation.
  • Administrative Support: Provide comprehensive administrative support to the General Manager, including managing expenses, processing invoices, preparing reports, and handling other administrative tasks as required.
  • Hotel Life Participation: Actively participate in hotel events and activities, fostering a positive and welcoming environment for guests and staff; Support the hotel team in achieving its goals and objectives; Represent the hotel in a professional and courteous manner at all times.

Requirements

  • Proven experience as a Personal Assistant or in a similar administrative role, preferably within the luxury hospitality industry. Excellent organizational, time management, and prioritization skills.
  • Strong written and verbal communication skills in Italian and English (additional languages are a plus).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle confidential information with discretion.
  • Proactive and self-motivated, with the ability to work independently and as part of a team.
  • Strong problem-solving skills and ability to handle multiple tasks simultaneously.
  • Knowledge of reputation management tools and techniques. Flexibility and adaptability to changing priorities and deadlines.
