Location: Miami (Primary) | UK (Grimsby) travel required

Compensation: $60,000–$70,000 + performance bonus + relocation support

This role is designed to function as an extension of the founder — someone who removes friction, owns execution, and ensures both personal and business operations run seamlessly.

The Role

We are hiring a high-ownership Life Manager to act as the founder’s right hand across business, personal, and operational domains.

This is not a traditional Executive Assistant role. The person in this position will operate as a trusted operator — managing logistics, building systems, coordinating people and vendors, and proactively driving execution without needing direction.

Success in this role means the founder’s time is fully protected, operations run smoothly, and nothing falls through the cracks.

Key Responsibilities

Executive & Operational Support

  • Own calendar, scheduling, and time optimization
  • Manage inbox and communications follow-through
  • Prepare meetings, agendas, and briefing notes
  • Coordinate stakeholders, contractors, and vendors
  • Track projects and ensure execution and completion
  • Implement systems to manage tasks and priorities (Notion-based tracking)

Travel & Logistics

  • Plan and manage domestic and international travel
  • Handle full travel logistics, bookings, and advance setup
  • Accompany the founder when needed and manage on-site coordination

Personal & Lifestyle Operations

  • Coordinate personal staff (chef, cleaners, hairdresser, etc.)
  • Manage appointments, errands, and personal logistics
  • Oversee household operations, maintenance, and vendors
  • Ensure the home environment is organized and operational at all times

Events & Projects

  • Own event coordination from planning through execution
  • Manage logistics, vendors, and on-site delivery
  • Ensure seamless execution and post-event follow-through

Financial & Administrative Oversight

  • Manage expenses, reimbursements, and documentation
  • Implement monthly financial audit processes
  • Track personal and business accounts and flag anomalies
  • Connect and manage banking/investment tracking systems

Systems & Execution

  • Build and maintain a follow-through system ensuring nothing is missed
  • Implement workflows that reduce manual involvement for the founder
  • Take ownership of recurring responsibilities and optimize processes over time

Requirements

Experience

  • 5+ years in a high-level Executive Assistant, Life Manager, Chief of Staff, or private support role
  • Experience supporting founders, entrepreneurs, or high-net-worth individuals
  • Background in fast-paced, operationally complex environments
