About the role:
The C-Level Personal Assistant will provide high-trust, hands-on support to two senior executives: the UK CEO / Group Chief Financial Services Officer and the Group Chief Commercial Officer / Group Deputy CEO. The core purpose of this role is to remove operational friction at the executive level by owning and coordinating complex calendars, tracking commitments, and ensuring priorities are executed without things falling through the cracks. The Personal Assistant will act as a central point of control across scheduling, communication flow, travel, meetings, and executive logistics, creating clarity in high-volume, fast-moving environments. This role requires sound judgment, discretion, and the ability to anticipate needs, manage follow-ups, and protect executive focus while coordinating with internal teams and external stakeholders across multiple time zones. In addition, the role includes supporting executive visibility through travel coordination, event management, and assistance with social platform posting. Success is measured by how effectively the assistant reduces bottlenecks, keeps executives aligned and prepared, and ensures that critical actions and decisions are never missed.
Reporting Line: UK CEO / Group Chief Financial Services Officer and the Group CCO / Group Deputy CEO
Key Responsibilities:
- Own end-to-end calendar and schedule management for both executives across UK / EU / EMEA time zones
- Actively track executive commitments, follow-ups, and actions to ensure nothing is missed
- Coordinate and send business-related invites for meetings, dinners, events, and external engagements
- Prepare concise one-page briefs ahead of key meetings, highlighting context, attendees, and decisions required
- Track and route internal approvals, ensuring the correct order of sign-offs is followed
- Coordinate meeting logistics, agendas, and pre-shared materials (avoiding channel and document sprawl)
- Act as a communication gatekeeper, surfacing only what genuinely requires executive attention
- Consolidate actions into clear post-meeting summaries with owners and deadlines
- Ensure executives are only included in critical groups, threads, and mentions when it comes to internal communication
- Manage travel and accommodation coordination, including itineraries and meeting logistics
- Assist with posting and coordinating content on social platforms as required by the executives
Key Requirements:
- 3+ years’ experience supporting C-level executives in fast-paced, multinational environments, with demonstrated ownership of complex calendars and schedules
- Experience or strong understanding of the payments, fintech, or financial services industry
- Exceptional organisation and prioritisation skills, with a proven ability to reduce bottlenecks and manage high-volume communication
- Strong written and verbal communication skills, including drafting concise briefs and filtering information with sound judgment
- High integrity, discretion, and confidentiality, particularly when handling sensitive executive, legal, and commercial matters
- Proficiency with productivity and collaboration tools (Google Workspace, Microsoft Office, Slack/Teams, etc.)
- Fluent or professional-level Russian, with the ability to communicate confidently when required will be considered a plus.
- Proactive, calm, and solution-driven working style, able to anticipate needs, adapt quickly, and support two executives with different priorities.
