We’re recruiting for a Personal Assistant to join us. You will provide a proactive and professional PA service to the Director of Group Finance and other leadership team members, working autonomously and independently with excellent attention to detail and a pro-active approach in supporting all aspects of their day-to-day activities.
What you'll be doing:
- Managing inbox proactively, including delegating matters to the appropriate person, highlighting where necessary, and responding on their behalf as appropriate
- Managing diaries proactively, including all logistics and travel to ensure time is optimized when spent in various locations. For hybrid meetings, ensuring the successful operation of technology
- Organizing events/away days/conferences as required, including attending and managing logistics on the day if required
- Identifying, driving, and taking ownership of any special projects to support teams reporting to the Director. Examples include:
- Coordinating 2027 office relocation to 10 Coleman Street
- Arranging overseas travel and meeting logistics for all colleagues attending cross-functionally
- Preparing, proofreading, and circulating papers prior to meetings when required. Attending meetings where needed, minuting and noting actions for the team
- Managing all aspects of travel, expenses, and invoice processing. Keeping accurate and confidential records including holidays, absence, gifts & hospitality, complying with regulations
- Working collaboratively with other EAs/PAs across the business ensuring there is always seamless support in place and providing cover during absence and periods of high workload. Cascading relevant information to team PAs
- Completing management of the onboarding process for new members of the team when required
Who we're looking for:
- Appropriate knowledge of systems including Outlook, Teams, SharePoint, Word, PowerPoint, Excel, and other relevant software packages that support the full range of administrative activities
- General knowledge/awareness of wider L&G business and key contacts in other divisions
- General knowledge of the market, the industry, and of the company structure
- Confident, experienced self-starter with the ability to prioritise a busy workload and to be flexible in a continuously changing environment. Understanding of business strategy and objectives, governance processes and inter-relationships between different areas of the organisation
- Constantly seeking resolution and continuously suggest ways of improving existing processes and procedures
- Capable of working alone and unguided, dealing with any situation that arises and confident in making decisions on their behalf where appropriate
- Always demonstrate accuracy when sending out reports, papers, and correspondence on behalf of the Exco
- Excellent interpersonal/communication skills at all levels and the ability to create a strong internal and external network
- Capable of using a variety of technology (including for hybrid meetings). Ability and willingness to learn and train others on new tech/systems and sharing knowledge and expertise where necessary
