Newton is looking for a bright, enthusiastic, and highly competent administrator to support multiple Business Managers who are out in the field delivering challenging projects and leading diverse project teams. (known as stakeholders) and some Head Office leaders.   You will also be required to staff the reception desk in our Head Office, being the first point of contact for visitors and helping to make our Head Office a great place to work

You will be joining a dedicated team of Personal Assistants in the Delivery Support Team providing tactical and efficient support and working to build a world-class and high performing support function. 

The role is permanent and will be based in our Head Office in Kingston Bagpuize, Oxfordshire, you will need to be in the office up to four days a week.  

Personal Assistant:

  • Working closely with the wider Executive Support function to provide effective support and increased value to multiple stakeholders
  • Managing and maintaining multiple diaries of up to 6 stakeholders across multiple projects/departments
  • Scheduling internal and external meetings of varying sizes for stakeholders (including appraisals, client reviews, project reviews, internal company development, team meetings)
  • Monitor holiday cover inbox to ensure elements of support are still maintained for team members
  • Driving and sharing best practice in the way we support senior people across the business, enabling them to deliver the very best value to our clients.
  • Ad-hoc administrative tasks as needed

Reception:

  • Staffing the Head Office reception desk up to 4 half days during the week
  • Greeting visitors and managing deliveries and collections
  • Being the first port of call for queries about Head Office and directing queries as appropriate, supporting the facilities team with basic queries
  • Managing post and distributing accordingly
  • Monitoring and managing the reception inbox
  • First Aider and Fire Marshall responsibilities
  • Ad-hoc administrative tasks as needed  

Requirements

You’ll be a high calibre individual, with exceptional levels of personal drive and eagerness for personal development. An analytical mind coupled with strong communication skills and a positive attitude are essential to fit into the Newton culture.   The successful candidate will also have/be able to demonstrate the following: 

  • Previous experience in an administration role
  • Experience of diary management, co-ordinating and booking meetings  
  • Ability to think ahead and anticipate needs before they arise 
  • Methodical coordination skills and logical thinking 
  • Exceptional organisational skills: ability to multi-task and organise others 
  • Excellent oral and written communication skills, with the ability to work and communicate effectively within a team and enjoy being a team player 
  • Experience working within a high-paced environment where you can remain calm under pressure, adaptable and responsive to ever-changing challenges and priorities  
  • Excellent use of Teams, Outlook, Word, Excel, and PowerPoint (and co-pilot) 
  • Discretion and confidentiality guaranteed 
  • Exceptional attention to detail and deadlines 
  • Capability to filter information and assess priorities – always looking to bring additional value to the team 
  • Ability to quickly learn new IT systems and processes to provide support to your colleagues

We also operate a profit share scheme so that our people share in the success of the business. The profit share bonus is based on company performance and typically paid out in March and September.
