We’re looking for a Patient Services Specialist - someone warm, calm, and highly organised, with strong communication skills and a caring, patient-first mindset. You’ll be the dependable first point of contact, keeping everything running smoothly behind the scenes while supporting both patients and our clinical team.
Your main responsibilities will be:
📞 Professionally manage inbound patient phone calls, handle enquiries, give information, and reflect our caring style
📧 Handle patient email correspondence promptly and accurately
🗓️ Manage dentist and clinician diaries and appointments using our practice management software
🔄 Coordinate bookings, confirmations, rescheduling requests, and daily appointment logistics
🗂️ Complete supporting admin tasks using Google Workspace, including tracking and reporting
💳 Assist with numerical or basic financial admin, such as processing payments with strong accuracy
✨ Maintain an exceptional patient experience in every interaction
💡 Proactively spot and suggest improvements to workflows and communication processes
⏰ Working Hours: Full-time, Monday to Friday, 8 am-6 pm GMT (UK time).
Requirements
You’ll be a great fit if you bring:
✅ Excellent written and spoken English with a clear, empathetic communication style
✅ Experience managing patient or customer interactions by phone and email
✅ Strong organisational and time-management skills
✅ Proactive mindset with reliability in a fully remote setup
✅ High proficiency in Google Workspace (Docs, Sheets, Gmail)
✅ Strong numerical accuracy and attention to detail
✅ Patient-focused attitude and desire to deliver great service
✅ Ability to work full-time UK hours from a quiet, stable environment
Brownie Points:
⭐ Previous experience in a dental, medical, or healthcare setting
⭐ Experience using dental or medical practice management software
⭐ Background in premium service environments (luxury hospitality, high-end client services, etc.)
⭐ Evidence of improving processes or workflows in past roles
⭐ Familiarity with basic financial admin (payments, reconciliations, reporting)
⭐ Experience working remotely in a structured full-time role
