At Xebia, we’re looking for a dedicated Payroll Specialist to take ownership of our payroll operations, partner closely with our HR and Finance teams, and ensure our people are paid correctly and on time.

This is a role for someone who enjoys both the detail and the bigger picture, managing the day-to-day payroll process while also identifying ways to make it smoother, smarter, and more future-ready.

What you’ll do

As our Payroll Specialist, you will be the primary point of contact for all payroll matters within Xebia Netherlands, covering more than 500 employees (including a number of expats). You will work in a hybrid setup, partly from our Hilversum office and partly from home. Your responsibilities will include;

  • Payroll administration – Managing the complete payroll cycle, including changes, checks, tax filings, and pension & insurance contributions.

  • Compliance - Ensuring full compliance with current labor laws, tax regulations, and social security requirements, and liaising with external parties such as the Tax Authorities, insurers, and pension funds.

  • Employee support – Handling payroll-related queries from employees and processing leave applications for parental and birth leave.

  • Reporting & insights – Producing accurate monthly reports for Finance and management, including salary costs, headcount, and budget insights.

  • Process improvement – Identifying and implementing process and system improvements in close collaboration with HR and Finance.

You’ll be part of a collaborative HR & Payroll team, reporting to the HR Manager and working alongside HR Officers and HR Business Partners.

Requirements

 What do you bring?

  • Experience as a Payroll Specialist (or strong motivation to grow into the role with suitable training/education)

  • Solid knowledge of AFAS and the ability to manage payroll processes independently

  • Up-to-date knowledge of Dutch payroll legislation

  • Excellent communication skills in both Dutch and English

  • Eye for detail, high reliability, and strong organizational skills

  • Proactive mindset and willingness to share expertise with colleagues
