Main tasks and goals:
We are seeking a proactive and organized Executive Assistant to support a segment of our team based in Lisbon.
This role will involve close collaboration with the Executive Assistant of the French team, who manages administrative tasks for the Paris-based group. The primary focus of this position is to ensure the smooth administrative operation of the team, facilitating day-to-day activities and invoice management.


Financial Management :
• Serve as the main point of contact for all finance-related inquiries.
• Ensure accurate financial tracking and reporting
• Manage and process invoices from and to the team, including:

  • Following up on unpaid invoices
  • Tracking and verifying company accounts
  • Maintaining purchase records
  • Produce reportings

• Enter and verify accounting documents using the company’s tools.
Administrative Support :
• Organize schedules and efficiently plan meetings.
• Coordinate business travel arrangements.

  • A bachelor’s degree in Business Administration,
  • Previous experience in an administrative support role, ideally within a marketing or
    digital environment, is highly desirable.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Knowledge of invoicing and order management tools.
  • Strong organizational skills, attention to detail, and the ability to manage multiple tasks
    efficiently.
  • Excellent written and verbal communication skills
  • Fluent Level of French and English (at least a C1 level);
