As Order Fulfilment Coordinator you’ll be part of a global team and will be based out of our Austin office 5 days a week. This is our second biggest global office with the head office in Dundee, Scotland.

This role holds a real level of responsibility and plays a key part in the chain to make sure that each client event/workshop runs successfully. You’ll engage with colleagues across the business worldwide to understand what is needed for each event/workshop which will vary every time, making sure they have everything they need to run their events successfully.  

You’ll be working as part of a small team in Austin who all work really closely together to strict daily deadlines making sure orders are accurate and ready to be couriered to their destination on time.

Day to day you’ll:

  • Process orders from the Customer Experience Team who are dealing directly with the clients to organise their events and workshops– each order will vary in complexity and is tailored to the client’s specific requirements, so you need to work through each order with care paying close attention to all the details, as getting the order 100% correct is crucial to the success of each event.
  • Prepare each order by checking stock, printing profiles & literature and any other necessary materials to then box it all up and use the online portal to arrange a courier to ship them.
  • Carry out quality checks on all orders before they are shipped.
  • Ensure we have commercial invoices for all orders and add all the details on Excel to track them.
  • Act as the go-to person for order management queries, liaising across departments.
  • Monitor and report on KPIs to keep operations running smoothly.
  • Dispatch orders on time using the most cost-effective methods.
  • Arrange pick-ups and returns for venues, clients, and staff.
  • Take ownership of print production tasks, including complex printing, binding, and laminating.

Your Skills and Experience

  • Knowledge of print room machinery and processes is beneficial.
  • Strong communication skills – written and verbal.
  • Proficient in MS Word, Excel, Outlook, Teams, and D365.
  • Quick to learn new systems and processes.
