About this role:
We are hiring a highly organised, detail-oriented operations professional to support the General Manager and ensure daily operations run smoothly, efficiently, and with structure. This role blends business operations, coordination with cross-functional teams, and HR-related workflows to ensure the office runs efficiently and that agents and teams are fully supported.
Key responsibilities:
Support the General Manager as the primary operations partner
Ensure smooth coordination between agents, listing team, HR Jakarta team, finance, and support teams
Maintain onboarding steps, operational checklists, schedules, and SOP compliance
Build clear, simple SOPs and update them as the operation grows
Ensure processes are followed and follow up when they are not
Identify inefficiencies and implement practical fixes that improve speed and clarity
Maintain performance dashboards for leads, conversions, and agent KPIs
Prepare weekly/monthly reports with clear insights and next steps
Track bottlenecks and highlight risks early
Build and maintain Excel/Google Sheets trackers, templates, and dashboards
Ensure PopDeal (CRM) data and workflows remain clean and structured
Take operational and follow-up tasks from the GM and deliver them end-to-end
Ensure tasks assigned to agents and cross-functional teams are completed
Maintain operational discipline and strong follow-through across the office

Clear SOPs implemented across all departments
Strong weekly reporting delivered consistently
Faster, cleaner onboarding for new agents
Reduced manual inconsistencies through better organisation and templates
Higher accountability and smoother daily operations

Is this you?
Bachelor Degree in Psychology, Communication, Administration or related field
5+ years in operations, HR business support, project coordination, or sales operations
Strong Excel/Google Sheets skills
Experience creating SOPs, workflows, trackers, and structured documentation
Very organised and detail-oriented with strong follow-up
Good verbal and written English command
Comfortable working in a high-growth, fast-paced environment
Experience in real estate, brokerage operations, BPO, hospitality, or startup environments
Familiarity with CRM usage and basic process management
