Key Responsibilities

A. Client Payouts & Financial Operations

Daily & Recurring Payouts

  • Process and reconcile client payouts through our payments platform on a daily, weekly, or monthly cadence depending on account terms.

  • Maintain accurate payout records and proactively flag and resolve disbursement discrepancies.

  • Coordinate with the CX team to ensure clients receive timely and accurate payout confirmations.

Custom Financial Reporting

  • Pull and prepare ad hoc financial reports for clients (e.g., barcode payment reports, tax breakdowns).

  • Ensure data accuracy and timely delivery on all client-facing financial exports.

Finance & Compliance Support

  • Assist with payroll preparation, verification, and timely processing.

  • Maintain financial documentation to support audits and regulatory compliance.

  • Liaise with external accountants, payroll providers, and tax professionals as needed.

  • Manage AP/AR records, process invoices, and follow up on outstanding balances.

B. Client Store Operations

Store Setup & Configuration

  • Insert and manage store staff accounts, permissions, and access levels across client stores.

  • Ensure store configurations are accurate and aligned with each client's operational requirements.

Promotions Management

  • Enter, schedule, and manage client promotions within the platform on a recurring basis.

  • Track active and inactive promotions to ensure seamless transitions between billing cycles.

  • Confirm promotion completion to clients and internal stakeholders.

Custom Data Requests

  • Fulfill ad hoc data requests from clients, including sales reports, inventory snapshots, and store performance summaries.

  • Maintain a request log to track volume, turnaround, and recurring needs.

  • Coordinate with the data team as needed for complex pulls or system access issues.

Inventory & Store Issue Resolution

  • Handle client inquiries related to inventory levels, stock discrepancies, and reconciliation.

  • Serve as the operational point of contact for store-level issues, escalating and coordinating resolution with internal teams.

  • Document recurring issues and resolutions to reduce repeat escalations.

C. Internal Operations

Communications & Correspondence

  • Monitor and manage internal and external communications, ensuring timely responses and appropriate escalation of urgent matters.

  • Process and action physical and digital mail (upload to GDrive, flag items requiring action, create tickets as needed).

Recruiting & Administrative Support

  • Assist with recruiting operations, including candidate data extraction, scoring, and spreadsheet management.

  • Support scheduling, documentation, and other cross-functional administrative needs.

Process & Documentation

  • Maintain organized operational documentation across tools (Notion, GDrive, etc.).

  • Identify process gaps and surface recommendations to improve efficiency and reduce manual work.

  • Contribute to broader team projects and initiatives as operational needs evolve.


Work Schedule

  • Tuesday to Saturday, 6:00 AM – 2:00 PM Philippine Time.

  • Occasional short check-ins (typically 15 minutes) may be required during US working hours to align with the broader team.

Compensation & Benefits

Compensation

  • $700 per month.

Engagement Type

  • This is an independent contractor role. You will be registered with the BIR as a self-employed individual and are responsible for filing and paying your own taxes. Standard employment benefits do not apply.

Qualifications

  • Bachelor's degree in Business Administration, Information Technology, Management Information Systems, Accounting, Finance, or a related field.

  • Based in Metro Manila or nearby provinces (Laguna, Rizal, Cavite, or Bulacan).

  • Must be registered with the BIR as an independent contractor.

  • Detail-oriented with a high degree of accuracy - comfortable owning recurring tasks where precision matters (payouts, data requests, store configurations).

  • Strong organizational skills with the ability to manage multiple ongoing responsibilities without dropping the ball.

  • Clear, professional communicator - able to coordinate with clients and internal teams with confidence.

  • Self-directed and comfortable working independently in a remote environment.

Technical Skills

  • Proficient in Google Suite and comfortable picking up new tools quickly.

  • Able to work confidently with data - pulling, organizing, and presenting information clearly.

  • Familiarity with SaaS platforms and operations workflows is a plus.

  • Experience with finance or accounting processes (AP/AR, payroll, expense management) is an advantage.

Setup Requirements

  • Must have a personal computer or laptop capable of handling day-to-day operational work.

  • Must have a stable, reliable internet connection suitable for remote collaboration and virtual meetings.


Interview Process

  1. Screening Call (20 minutes) An introductory call with Amanda to get to know each other and discuss your background at a high level.

  2. Remote Interview (30 minutes) A video interview with Sydney covering your experience, career aspirations, and alignment with our team's values and ways of working.

  3. Take-Home Assignment (~1 hour) A practical task sent following the remote interview. This is an opportunity to demonstrate how you approach and work through real operational scenarios.

  4. On-Site Interview (1 hour) An in-person interview with Amanda focused on how you think, adapt, and problem-solve in a fast-moving environment.

  5. Reference Check We'll ask for two professional references who can speak to the quality and impact of your work.

  • Angie (Operations) - Studied Financial Management at Far Eastern University and have spent almost a decade working with both local and multinational companies. Loves travelling to new places and trying new things.

  • Sydney (Operations) - Engineering grad from La Salle who tinkered with building hydraulics, solves diff Rubik’s for fun, and devours dystopian novels.
