Operations Lead/Manager
TLDR
Shape operational workflows at a growing startup, focusing on product ops, customer support, and events to ensure efficiency and success as the company scales.
Viktor is the AI coworker. It lives in Slack and Microsoft Teams, connects to thousands of tools, and does real work for real companies: finance, marketing, ops, engineering. We're building the product that replaces half the SaaS stack with a single teammate.
The team is small. The scope is not.
About the role
We need someone to run the operational side of Zeta Labs so the founders can stop doing it themselves.
You'll work directly with our Chief of Staff and Co-Founder on whatever matters most right now. That starts with product ops, customer support, and events, but the scope will change as we grow. Last month it might have been onboarding logistics. Next month it might be coordinating a product launch across four teams.
This role is broad on purpose. If you want a clearly scoped job with a fixed playbook, this isn't it. If you like building the plane while flying it, keep reading.
What you will do
You start with three things:
Product ops: take over coordination of non-technical work across Viktor and Jace, currently handled by the Chief of Staff and Co-Founder
Customer support: learn both products, then own response quality and speed across all channels
Events and partner-facing work: run logistics end-to-end for conferences, meetups, and partner initiatives
As you ramp up, you also own:
Internal processes: build the systems that let us scale from 15 people without everything breaking
Cross-team coordination between leadership, growth, engineering, and support
New hire onboarding: make sure someone's first week runs without anyone babysitting it
Finance and admin tasks that currently land on the founders' desks
How you will know you are succeeding
The founders stop getting pulled into day-to-day operational work
Customers get fast, reliable responses. Nothing slips through the cracks.
External initiatives land on time without last-minute firefighting
New hires have a smooth first week that runs on autopilot
Who you are
2+ years in operations, consulting, founder's office, bizops, or a high-ownership role at a startup
You've built processes from scratch, not just followed existing ones
You've coordinated across teams and run operational projects end-to-end
You've stayed effective in a company that was scaling fast and a little chaotic
You're comfortable switching between five different workstreams in a day without dropping any of them
Fluent English is required. Polish is useful.
You're willing to work on-site in Warsaw five days a week
Why join

If you deliver, the natural next step is Head of Operations as we grow the team
Early enough to have real ownership and a steep growth curve
How we work
Small team, high trust, low process. Decisions are made by owners, not committees. You will ship your first week. You will talk to users your first day. We don't do alignment meetings or stakeholder syncs. We build things, see if they work, and iterate.
Everyone here owns something real. Not a task. A surface of the company that customers depend on. When it breaks, you fix it. When it wins, everyone knows whose work it was.
We use Viktor to build Viktor. You'll see what you're working on in action every day.
Why Viktor
This is a rare window. The product works. The market is pulling. The team is small enough that what you do next week will be live in production next week. That doesn't last forever. Right now, it's still true.
Compensation
Competitive salary, meaningful equity, and the kind of ownership that only exists at this stage.
We're in Munich, New York, and Warsaw. Onsite preferred. The best work happens when you're in the room.
