Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Role Overview: We are seeking a proactive and experienced Operations & Finance Support professional to join our team. This hybrid role spans both operational and financial functions within our residential division, ensuring smooth workflow, accurate reporting, and reliable revenue protection. The ideal candidate thrives in a fast-paced environment, takes ownership of tasks end-to-end, and can operate independently with minimal supervision.

Key Responsibilities: 

  • End-of-Day Reporting: Reconcile all operational reports daily and follow up on missing or incomplete submissions. Align clinician attendance with scheduling to maintain operational continuity.
  • Client Invoicing & EPC Processing: Verify service delivery against reports, process EPC and non-EPC invoices, and track resolution of invalid documentation. Ensure timely invoicing to protect revenue flow.
  • Residential Billing Readiness: Maintain EPC summaries, verify resident counts, and follow up on invalid EPCs to reduce revenue leakage.
  • Shared Inbox & Residential Support: Triage residential queries efficiently, maintain task visibility and ownership, and manage agreed administrative items.
  • Expense Approval Coordination & Invoice Tracking: Review submitted expenses in line with company policy, coordinate discrepancies with the Operations Manager, and update the invoice tracker for approved payments.
  • Problem Solving & Initiative: Address operational challenges proactively (e.g., internet or system issues), make independent decisions, and escalate when necessary.
  • Leadership & Accountability: Demonstrate high reliability, meet deadlines without supervision, and contribute to process improvement initiatives.

Required Skills and Qualifications:

  • Minimum of 2 years of experience in operational, finance, or administrative support roles, preferably within residential, healthcare, or related industries.
  • Strong proficiency in financial reporting, invoicing, and administrative tools (e.g., Excel, accounting software, CRM systems).
  • Demonstrated ability to own tasks end-to-end, with high accountability and attention to detail.
  • Excellent organizational, communication, and decision-making skills.
  • Reliable infrastructure for remote or hybrid work, including stable internet and contingency plans for outages.
  • Proactive problem solver with a long-term mindset and leadership capability.
