Role Overview

AllCare.ai is seeking an experienced Operations Director to build and scale our clinical operations across multiple mission-critical domains: Concierge Intake, Credentialing & Compliance, Scheduling, Provider Enablement, Referrals & Forms Management, and multi-site clinic operations.

This is a senior leadership role with full P&L ownership for clinical operations. You will design the systems, lead teams (U.S. and overseas), and drive the reliability, financial performance, and compliance that power AllCare’s care delivery engine.

While Billing/RCM sits within a separate team, the ideal candidate brings **strong hands-on RCM experience** and can partner closely to ensure clean documentation, accurate coding, and low denial rates.

What You’ll Do

A] Clinic Operations Leadership

  • Lead operations across Concierge Intake, Credentialing, Scheduling, Referrals, and Forms Management.
  • Build scalable SOPs and workflows for virtual and future physical clinic sites.
  • Ensure consistent, compliant day-to-day execution across facilities.


B] P&L Ownership & Operational Finance

  • Own the operational P&L for clinical operations.
  • Drive revenue, utilization, margins, and cost efficiencies.
  • Partner with Finance on forecasting, budgeting, and unit economics.
  • Identify and eliminate operational revenue leakage.

C] Billing/RCM Partnership

Partner with the Billing/RCM team to ensure alignment on:

  • Accurate documentation
  • Coding compliance
  • Clean claim rates
  • Denial reduction
  • Build workflows that support strong financial performance.

D] Credentialing & Compliance

  • Oversee full provider credentialing lifecycle: licensing, expirables, payer enrollment, facility access.
  • Maintain audit-ready compliance documentation.

E] Provider & Facility Coordination

  • Lead scheduling workflows and ensure operational readiness at each facility.
  • Improve provider experience by strengthening communication, workflow clarity, and documentation support.
  • Serve as the operational point of contact for facility partners.

F] Remote Team Leadership

  • Lead and develop remote operations teams across multiple time zones (U.S. + overseas).
  • Implement accountability systems, KPIs, and communication rhythms.

G] Cross-Functional Leadership

  • Partner with Product, Pharmacy, Clinical Support, Provider Ops, and Finance to create aligned workflows.
  • Influence operational prioritization and company-wide improvements.

H] Scaling & Continuous Improvement

  • Build scalable systems to support new markets and future physical clinics.
  • Identify bottlenecks and implement process improvements and automation.
  • Drive operational excellence in a fast-moving, growth-stage environment.

Requirements

Required

  • 10–15 years in clinic operations, physician services, or multi-site practice management
  • Strong hands-on experience with Billing/RCM (even if RCM was managed by a separate team)
  • Experience scaling multi-location clinical operations
  • Deep knowledge of credentialing, compliance, and clinical documentation workflows
  • Proven leadership of distributed and/or overseas teams
  • EMR/EHR proficiency and comfort with tech-enabled operations
  • Track record of building operational systems, workflows, and SOPs
  • Experience owning or contributing to operational P&L

Preferred

  • Experience in assisted living, senior care, or multi-specialty environments
  • Experience opening or operationalizing physical clinic sites
  • Familiarity with AI-enabled tools and workflow automation
  • Experience training, onboarding, or enabling providers

  • Compensation: $180,000 – $230,000 annually (depending on experience)
