ABOUT THE ROLE


We are looking for an independent, organized, and proactive Office Manager to ensure the efficient day-to-day functioning of the office. As key support to employees, you will have a significant impact on the work environment, operational efficiency, and internal organization. This position is ideal for a person who enjoys a dynamic environment, likes to organize processes and solve operational challenges, and is ready to take the initiative in improving office operations.

Your Responsibilities

  • Organization and coordination of daily office activities to ensure efficient office functioning and foster a productive work environment
  • Leading the procurement process for office equipment, devices, materials, and other supplies, as well as monitoring inventory and ordering promotional materials
  • Entering and tracking fixed assets in the asset management tool, tracking inventory numbers and records by cost center
  • Managing relationships with suppliers and partners, regularly researching the market and monitoring trends in the field of office management
  • Operational management of office spaces, internal canteen, and lounge areas, including furnishing, maintenance, and renovations
  • Administrative tasks related to the lease of business premises and coordination of activities with the building manager
  • Administrative and operational cooperation with accounting (liquidation of incoming invoices, fixed asset records, data entry into financial tables)
  • Participation in budget planning and monitoring costs within the Office Management domain
  • Preparation of administrative documentation and maintaining necessary records, including parking spaces, entry cards, ordering gift packages, and similar tasks
  • Support and coordination of projects, internal events, and events, including logistical assistance and space preparation
  • Administrative and logistical support to employees, including onboarding and offboarding activities and preparing the workstation and equipment
  • Preparation and maintenance of documentation related to occupational health and safety
  • Care for office devices and services
  • Providing operational and administrative support to all employees and teams, and performing other various administrative tasks


What you bring to the team

  • 3-5 years of experience in the same or similar positions
  • High level of responsibility and independence in work
  • Excellent organizational skills and priority management
  • Excellent communication skills

  • Problem-solving orientation
  • Ability to work on multiple tasks simultaneously (multitasking)
  • Attention to detail and quality of work

  • Proficiency in English, both spoken and written
  • Proficiency in MS Office tools and Google Workspace package - especially Excel
  • Experience in using asset and task management applications is a plus (Youtrack, Jira, Asana, Trello, Snipe IT, etc.)
  • Knowledge of ticketing systems and accounting knowledge is a plus
