Office Manager

As our Office Manager, you will be the backbone of our operations for our Paris (Bercy) office, ensuring that everything runs smoothly behind the scenes. You’ll manage office administration, facilities, and supplier relationships globally while fostering a collaborative and productive work environment that is uniquely Shift.  As the first Shifter our customers, candidates, and employees see daily, you bring a positive and professional sense of hospitality.  You are versatile, experienced in handling a wide range of administrative tasks and able to work independently with little supervision.  While no two days are the same, you are also organized, disciplined and resourceful to make sure nothing slips through the cracks.  

This role is ideal for someone who is excited by the challenge of creating a space where Shifters thrive and eager to take ownership of multiple responsibilities in a growing, international company.

In order to best connect with Shifters and because of the on-site responsibilities of this role, we require this role to be in the office 5 days per week. 

What You'll Do

  • Office Operations & Administration
    • Oversee the day-to-day running of the office, ensuring a well-organized, clean, and efficient workspace.
    • Manage office supplies, equipment, and vendor relationships (e.g., cleaning, shipping, security).
    • Liaise with building management and external contractors for maintenance and office improvements.
    • Develop and implement office policies and procedures to improve efficiency.
    • Ensure compliance with health and safety regulations.
    • Manage office budgets, track expenses, and handle invoices related to office operations.
    • Negotiate contracts and maintain relationships with key service providers.
  • Team & Culture Support
    • Serve as the first point of contact for office-related needs of Shifters worldwide.
    • Assist with onboarding and offboarding employees, including equipment logistics, onboarding meeting invitations and coordination, and ensuring the new joiners welcome is smooth.
    • Collaborate with teams to help organize company events, team-building activities, and celebrations to maintain a strong company culture.
    • Assist executives with administrative tasks, scheduling, and travel arrangements as needed.
    • Support operational projects that improve overall efficiency and scalability.

About You

  • Experience: 3+ years of office management, operations, or administrative experience in a fast-paced environment, preferably in a scale-up or startup.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Excellent problem-solving skills and a proactive attitude.
    • Ability to work independently and take initiative.
    • Strong communication and interpersonal skills.
    • Tech-savvy, with experience in tools like Google Workspace, Slack, and basic IT troubleshooting.
