At Vay, we operate in a fast-moving, international environment where great operations make everything else possible. As a Working Student / Part-Time Office Management Support, you’ll play a key role in keeping our Berlin office running smoothly day-to-day.

This role gives you hands-on exposure to office operations in a growing tech company, close collaboration with People & Culture, IT, and external vendors, and real ownership over how the office experience feels for everyone who works here.

What you'll be driving

You’ll support our Office Management function with a broad range of operational and administrative tasks, including:

  • Coordinating and supervising external vendors (handymen, cleaners, service providers)

  • Ordering office supplies, snacks, and drinks (with approval where required)

  • Acting as a point of contact for landlords and subtenants

  • Preparing meeting rooms and supporting on-site external and internal meetings

  • Providing on-site support for company events (monthly team-buildings and company-wide events)

  • Coordinating deliveries and shipments

  • Managing office access (badges, keys), sometimes in collaboration with IT

You’ll help ensure that our office is organized, welcoming, and fully functional.

What are we looking for

We’re looking for a reliable, proactive, and hands-on person who enjoys keeping things organized and running smoothly. You don’t need years of experience, what matters most is your mindset and attitude.

You should apply if you have:

  • A structured and reliable working style with strong attention to detail

  • A proactive, solution-oriented mindset

  • Good communication skills (English is a must, German is a plus)  and confidence interacting with vendors and internal teams

  • The ability to juggle multiple small tasks and follow through independently

  • Availability as a working student or on a part-time basis

Nice to have

  • Previous experience in office management, operations, or administration

  • Experience working in a startup or fast-paced environment

  • Comfort using basic office/IT tools (Google Workspace, Slack, ticketing tools, etc.)
