We are seeking a highly organized, proactive, and resourceful part‑time Office Manager m/f/d (20 hours) to oversee the day‑to‑day operations of our Munich office. As Office Manager m/f/d, you will play a key role in shaping the daily office experience and ensuring a smooth and supportive workplace for our Munich team.

In this role, you will ensure that the office runs efficiently and seamlessly while providing essential support to both employees and visitors. You will be responsible for managing office supplies, facilities, and external services, as well as supporting administrative tasks across different departments.

This position is ideal for someone who thrives in a dynamic environment, enjoys taking ownership, and is comfortable managing multiple priorities with a strong sense of responsibility.

Key Responsibilities:

• Oversee the day-to-day operations of the Munich office, ensuring a welcoming, well-organized, and efficient work environment.

• Manage office supplies and equipment, monitoring stock levels and coordinating timely replenishment.

• Build and maintain strong relationships with office vendors and service providers (e.g. cleaning, security, catering), ensuring consistently high standards.

• Coordinate office maintenance, repairs, and improvements in close collaboration with building management.

• Plan and organize office events and meetings, ensuring all logistical aspects are handled smoothly.

• Support compliance with local health and safety regulations, including documentation management and coordination of required training.

• Maintain emergency preparedness procedures and act as the primary point of contact for health and safety matters.

• Serve as the main point of contact for office staff regarding facilities, workplace needs, and general office-related topics.

• Foster a positive office culture by supporting employee well-being and contributing to an inclusive and engaging work environment.

• Assist with budget tracking and expense management for the Munich office, ensuring costs remain within approved budgets.

Requirements

  •  At least 2 years of experience in office management, administration, or a comparable role.
  • Previous experience in a fast‑paced and preferably multinational environment is an advantage.
  • Strong organizational and multitasking skills, combined with a high level of attention to detail.
  • Confident handling of Microsoft Office (Word, Excel, PowerPoint) and common office management tools.
  • Excellent interpersonal and communication skills, with fluency in German (C1 level) and English (at least B2 level).
