We’re looking for an Office Manager to own the day-to-day operations and employee experience of our San Francisco office. You’ll be the on-site point person who keeps the office running smoothly (space, vendors, onboarding, office programs, and facilities) and you’ll partner closely with People, IT, Finance, and team leaders to create a welcoming, high-performing workplace.
This is a hands-on role for someone who’s equal parts hospitality-minded, operationally rigorous, and proactive: you spot issues before they become problems and you love building repeatable systems.
About This Role:
Workplace Experience & Culture -
Maintain a positive, productive office environment → comfort, noise, aesthetics, supplies, shared space norms, seating plans etc. + Overseeing workspace management → Making workspace adjustments to accommodate team growth.
Manage office perks and amenities → Own the daily lunch catering program and managing snack and beverage stock, and ensuring tidy, functional, and welcoming common spaces.
Planning and organizing events, team-building activities, and celebrations.
Coordinating office events outings, holiday parties, launch parties, and other morale-boosting activities while gathering employee feedback.
Be part of the organization of Loftsite + support the team offsites.
Onboarding & New Hire Experience → Manage swag / welcome kits and first-day logistics so new hires feel expected and supported.
Providing office tours → Introduce new hires to key areas and explain office policies, local “how we work here” orientation and explanation of Loft culture
Helping with first-week logistics → Ensure new hires know where to check in, meet their team, Buddies and understand office culture during their 90 day actions plan.
Travels and Loft Loft Management -
Assist in coordinating employee travel and logistics between offices and for remote work
Booking reservations of our apartments → Manage reservations for Loft stays, ensuring the schedule is up-to-date to avoid overlapping bookings
Housekeeping coordination. Schedule cleaning services between guest stays, ensuring a clean and welcoming space.
Managing inventory of amenities. Keep track of provided amenities (e.g., toiletries, linens, coffee, snacks) and restock as needed.
Facilities & Vendors Management (Office + Loft Loft) -
Coordinating office maintenance, repairs, and cleaning services → Working with property managers, repair technicians, and cleaning services to ensure the office remains in top condition.
Managing relationships with vendors → Negotiating contracts and ensuring timely payments. Handling service complaints and resolving vendor-related issues.
Budget/Finance: Maintaining records of office-related spending Identifying cost-saving opportunities without sacrificing quality.
Documentation & Communication -
Documenting policies and procedures in Confluence → Maintain an update Confluence pages with office policies, workplace guidelines, and key resources for employees.
Support lightweight internal comms as needed (e.g., posting monthly birthdays, monthly anniversaries, uploading All Hands slides and sharing a short recap, leading monthly Standup Coffee).
Must Haves:
3+ years experience in office management, workplace experience, facilities coordination, or operations in a fast-paced environment.
Event planning experience and a hospitality mindset.
Strong vendor management skills (quality control, escalation, contract basics).
Reliable, proactive, and calm under pressure
Ability to lift/carry office supplies and handle light physical tasks as needed
Nice to Haves:
Experience supporting hybrid workplaces and building “office playbooks”.
Familiarity with ticketing/task tools, Slack workflows etc.
Prior experience managing corporate housing or short-stay apartments.
Comfortable owning budgets, invoices, and operational tracking.
