The Impact You Will Make

Reporting to the Sr. Director of Culture & Operations the Operations Assistant will communicate across all levels of BPI. This candidate will possess integrity and discretion in handling confidential information and a professional attitude when dealing with senior executives both inside and outside the company will be imperative to your success!

You are a master of organization and have a demonstrated ability of managing complex calendars, coordinating domestic travel, processing expense reports and acting as a general liaison between team members and leadership. The role will additionally entail minor office management responsibilities.

What the Day-to-Day Looks Like

In this role, you’ll be responsible for administrative support to some of our leadership team by mastering the art of calendar Tetris, coordinating travel arrangements, and helping us see around corners. You’ll also provide support to our daily office operations by arranging team gatherings, managing facility operations, keeping spaces organized and stocking office supplies and snacks. You’ll work closely with the Senior Director of People & Operations and the rest of the internal operations team to ensure operations across the agency are coordinated and running smoothly. The ideal candidate is well organized, has excellent communication skills, is detail oriented, and thrives at juggling a variety of tasks in a fast-paced environment.

  • Executive Scheduling. Provide administrative assistance to executives on our Leadership team that includes, but is not limited to managing complex schedules, booking travel and filing expense reports
  • Office Operations. Monitor the day to day operations needs of our x team and partners with the company’s internal operations team to ensure administrative, office and daily business operations needs are met and running smoothly. Collaborate with our IT Manager to maintain functioning systems and equipment in the office
  • BPI Culture Be a champion of BPI culture and collaborate with and engage with leadership in planning activities, calendars and the organization of events & operations tasks as needed

Requirements

  • 2 - 3 years of relevant experience as an office administrator or office manager in a corporate environment.
  • At least 2 years experienced with Executive-level calendar management in Outlook.
  • Excellent verbal and written communication skills.
  • Strong reliability and follow up.
  • Proficiency in Microsoft Office (Word, Powerpoint, Outlook Calendar) and finds fulfillment in learning new software programs.
  • Proven ability to prioritize and handle multiple assignments
  • Thrives working in a collaborative and fast paced environment
  • Customer services champion; you set the bar high for all here
  • Ability to work well with all levels of clients and team members
  • Polished, professional and positive demeanor.
  • Able to work onsite - Hybrid

BPI offers a comprehensive total compensation package for this role to include but not limited to a targeted base salary range of $60,000 and an annual discretionary bonus, and generous benefits. Actual base and bonus compensation will be determined by a wide variety of factors, such as skillset, level of experience, and other qualifications.
