Office Manager

TLDR

Be the heartbeat of the London office, managing supplies, liaising with building management, and shaping a positive workplace environment during the upcoming office relocation.

We are Bionic, and we're on a mission to make life radically easier for small business owners, building a one-stop shop for all their business essentials, and giving them an experience so good that they trust Bionic to sort everything for them, forever.

The role

At Bionic, we’re building something extraordinary - a one-stop shop that makes life radically easier for small business owners. That same energy flows through our workplace: fast-paced, high-impact, and buzzing with innovation.

As we continue to grow, we’re looking for an Office Manager who shares our drive and wants to be part of a team that’s doing its best work every day.

In this pivotal role, you’ll be the heartbeat of our London office environment, making sure everything runs like clockwork. From managing supplies and liaising with building management to coordinating internal events, you’ll play a key role in shaping a workplace where our talented team can thrive. You’ll also be a friendly first point of contact for visitors and new joiners, and a driving force behind a smooth, collaborative, and future-ready office - especially as we plan and deliver our exciting upcoming office relocation.

Key responsibilities:

  • Manage office supplies, equipment and the office budget.
  • Act as the first point of contact for visitors, external partners and stakeholders.
  • Ensure consistency and compliance across health and safety, property management and general office processes.
  • Liaise with the building management to ensure smooth facility operations and adherence to building regulations.
  • Manage supplier and vendor relationships to support smooth day to day operations.
  • Facilitate employee onboarding and offboarding, including access control, IT setup coordination, and support with induction sessions.
  • Coordinate internal events and initiatives that promote company culture, collaboration, and a positive working environment.
  • Support ESG data tracking and reporting, ensuring the accuracy of sustainability metrics.

About you

You’ll have proven experience in office management or a similar administrative role within a fast-paced, high-growth environment. You’ll also be able to demonstrate:

  • Strong organisational and multitasking skills, with the ability to prioritise and manage multiple responsibilities simultaneously.
  • Experience managing supplier and vendor relationships, including negotiating contracts and ensuring service delivery.
  • Knowledge of health & safety regulations and compliance, including property management and workplace risk assessments.
  • Familiarity with facility operations, including liaising with building management and coordinating maintenance or repairs.
  • Strong interpersonal and communication skills, with a welcoming and approachable manner for interacting with employees, stakeholders, and visitors.
  • Proficiency in office software tools (e.g. Microsoft Office, Teams etc)
