About the role We are looking for an Office Manager to support our fast-growing team in Madrid, now counting around 20 people. You will be part of the People & Office Team in Paris, with a strong day-to-day collaboration with the Country Manager Spain. Our mission: ensure smooth office operations, deliver an outstanding employee experience, coordinate local events, and provide operational HR and recruitment support. This role is perfect for someone proactive, people-oriented, organised, and creative.  What you’ll do
  • 1. Coworking & Office Liaison
  • Act as the main point of contact with the coworking space.
  • Manage daily requests, issues, and follow-ups.
  • Handle meeting room bookings and ensure a comfortable, well-equipped workspace.
  • Support the team's operational needs with a practical, solutions-driven mindset.
  • 2. HR & Administrative Support
  • Prepare onboarding logistics: equipment, welcome documents, first-day orientation.
  • Help with payroll (knowledge of Payfit and Alan is a plus)
  • Handle local HR administrative tasks (contracts, certificates, coordination with the asesorĂ­a).
  • Track employees’ absences and time-off in coordination with the HR team in Paris.
  • Be the go-to person for day-to-day HR-related questions locally.
  • 3. Team Events & Office Life
  • Organise team lunches, afterworks, celebrations, internal events, and offsites.
  • Suggest creative ideas to strengthen team spirit and Bigblue’s culture in Spain.
  • Contribute to aligning the office culture between Spain and France.
  • 4. Recruitment Operations Support
  • Welcome candidates on-site and ensure they have a smooth experience.
  • Schedule interviews and coordinate with hiring managers and the Talent Team.
  • Manage the administrative and logistical side of the recruitment process.
  • Keep candidates informed and ensure a welcoming, professional environment.
  • 5. Process Harmonisation Spain  France
  • Help align HR, Office, and administrative processes across both countries.
  • Share local insights and support continuous improvement of internal workflows.
  • Ensure consistency in employee experience across locations.
  • 6. General Administration
  • Handle incoming/outgoing mail, deliveries, supplies, and office procurement.
  • Track invoices and office-related expenses.
  • Support logistics for travel, visitors, and offsite meetings.
  • Who you are
  • Experience & skills
  • 1–3 years of experience in Office Management, HR support, or Administration, ideally in Spain and within a startup or fast-paced environment.
  • Good understanding of Spanish HR basics: employment documents, contracts, time-off rules, coordination with asesorĂ­a.
  • Strong organisational skills, attention to detail, and sense of ownership.
  • Warm interpersonal skills and a service-oriented mindset.
  • Creativity and initiative in day-to-day operations and team engagement.
  • Languages
  •  Spanish: Native or excellent level.
  •  English: Professional level (daily communication with Paris).
  •  French: A strong plus, especially to collaborate with the People & Office Manager.
  • Soft skills
  • Highly reliable, discreet, and trustworthy.
