Office Manager

AI overview

This role is focused on maintaining smooth office operations and supporting onsite events to enhance the team's experience in a fast-growing startup.

Air is a Creative Ops System for creative teams. Our product automates the mindless tasks that creatives and marketers do every day to manage content and unlocks creativity through image recognition, automated versioning, and approval workflows. We launched in March 2021 and have raised +$70m from world-class venture capital groups including Avenir, Tiger Global, Headline Ventures, Lerer Hippeau, WndrCo, and Slack Ventures.

This role requires in-office attendance 5 days/week in New York.

Air is looking for a motivated Office Manager to support the day-to-day operations of our office and help create an exceptional in-person experience for our team. This role is ideal for someone who’s excited to learn, take ownership, and be deeply involved in the rhythm of a fast-growing startup. You’ll help keep the office running smoothly while partnering with our Marketing team to support onsite events and in-office moments that bring Air’s brand to life.

This is a hands-on role for a problem solver: someone who’s hungry, organized, anticipates needs, and is excited to grow and build from the ground up—someone who takes pride in being the person who makes things happen.

Core Responsibilities

Support day-to-day office operations

  • Help manage the daily flow of the office, keeping the space organized, stocked, and running smoothly.
  • Handle office supplies, snacks, and basic vendor coordination.
  • Be a first point of contact for office-related questions and issues, escalating when needed.
  • Support office logistics for new hires, including desk setup and first-day readiness.

Support onsite marketing and company events

  • Assist the Marketing team with onsite and in-office events, including setup, breakdown, and day-of support.
  • Help coordinate vendors, catering, and materials for events hosted in the office.
  • Be an extra set of hands during events to ensure everything runs smoothly.
  • Support post-event wrap-up and organization.

Help create a great in-office experience

  • Maintain a welcoming, well-organized office environment that reflects Air’s culture.
  • Work with the Operations and People teams to ensure visitors, employees, and stakeholders feel comfortable in our space.
  • Support team moments like lunches, celebrations, and small gatherings.
  • Help ensure the office feels clean, functional, and ready for the team each day.
  • Bring ideas for improvements that make the office more enjoyable over time.

Requirements

  • Experience: 0-2 years of experience — we want to find the right person with the excitement to get the job done, so we aren’t overly prescriptive about your past experience. Current students and new grads welcomed!
  • Scrappy by Default: You don’t need perfect instructions or tons of resources to get started. You’re a problem solver by nature and you are open to thinking outside the box.
  • Hungry & Curious: You want to learn everything: how the office runs, how events come together, how teams work, and how to execute the best office experience possible. You are organized and know how to put together a plan to make things happen.
  • All-In Teammate: You show up, help where needed, say the hard thing when required, and care deeply about the team winning together.

How we work at Air:

  • Act like a driver: Take initiative and ownership without waiting to be told.
  • Work in public: Share ideas openly, get feedback early, and collaborate across teams.
  • Play to win: Aim high and bring creativity, adaptability, and focus to your work.
  • Say the hard thing: Give and receive feedback with clarity and respect.
  • Disagree and commit: Debate honestly, then align quickly to move forward together.
