Office Coordinator

$26 – $31 per hour

TLDR

Provide vital front-desk, administrative, and facilities operations support, ensuring efficient, smooth office functioning and a welcoming environment for visitors and staff.

NOTE:  This position will be based full-time in our Houston, TX office located in CityCentre.

 

 

POSITION SUMMARY: The Office Coordinator provides daily Administrative, Reception & Facilities office operations support, serves as the welcoming front-desk presence for employees and visitors, and provides administrative, HR, and facilities support as requested. This role keeps the workplace running smoothly by combining organization, communication, and hands-on facilities coordination. Collaboration with the administrative team is crucial to the success of the position. This is an on-site position that requires consistent presence at our Houston office.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Front Desk Operations

  1. Greet visitors professionally, manage visitor badges and logs, and ensure adherence to facility access and export compliance procedures. Conduct daily badge inventory and maintain discretion for confidential or high‑sensitivity visits.
  2. Screen and route incoming calls, emails, and general inquiries.
  3. Manage incoming and outgoing mail, packages, and deliveries, ensuring timely and accurate distribution.
  4. Maintain a clean, organized, and welcoming lobby, reception area, and conference rooms, ensuring supplies and materials are stocked.

Administrative Support

  1. Assist the Office Manager in designing and enhancing office processes and guides, and help ensure successful rollout.
  2. Provide administrative support to managers and department leads, including scheduling, meeting coordination, basic travel arrangements, and expense report assistance.
  3. Lead planning and coordination of corporate employee events and NuScale-hosted meetings, including preparing materials, ordering and managing of catering, room setup, and post-event clean up.
  4. Employee gift coordination. Flower requests, retirement gifts, etc.
  5. Propose annual timeline of suggested events to HR management.   Be proactive in all coordination of internal and external event management, overseeing tasks throughout event planning process.
  6. Provide administrative support to HR.

Facilities Coordination Duties

  1. Liaise with building management to coordinate service requests, repairs, and preventative maintenance.
  2. Order and maintain office supplies, kitchen essentials, and other necessary materials.
  3. Serve as Fire Warden and support adherence to fire and safety protocols. 
  4. Partner with IT to support new‑hire setups and all interoffice moves, providing hands‑on assistance with workstation preparation, equipment placement, and non‑technical setup tasks or repairs.
  5. Performs other duties as assigned

  • Quality Assurance: Demonstrated understanding and implementation of quality assurance regulations, standards and guidelines of 10 CFR 50 Appendix B, 10 CFR 21, and NQA-1.

 

MINIMUM SKILLS, QUALIFICATIONS AND ABILITIES:

  • Education: A minimum of High School diploma is required. A 2- year or 4-year degree is preferred.
  • Experience: A minimum of five years of facility operations and/or front desk experience is required. Must have strong skills in MS office suite, Word, and Outlook.
  • Industry Requirements: Eligible to work under Department of Energy 10 CFR Part 810.

Pay and Benefits: 

The target pay range for this position is $26.45 - $31.93 hourly.  The full pay range is $23.72 - $37.10 hourly.
