As our Office & Events Manager, you guarantee the seamless flow of all office processes. You are not just the "good soul," but the operational engine that supports our rapid growth with structure and excellent service.

Your Responsibilities / What you’ll do:

I) Confidential & Diligent Organization

  • You organise companywide and team events as well as Leadership and Board Meetings (national & international), including complex travel bookings, accommodation, and catering.
  • You are filing and document management for the Leadership team.
  • You process incoming documents (e.g., physical mail from authorities and invoices) and careful filing of correspondence for external accountants.

II) Office Service & Experience

  • You are the central point of contact in the office, providing proactive support and taking on administrative ad-hoc tasks to maximize the productivity of your colleagues.
  • You assume Ambience Responsibility and adapt and optimise the office design and decoration to make the Enmacc brand essence tangible.
  • You manage all general office operations, especially ordering of supplies and consumables (e.g., fruit, snacks, mail, stationery, catering for meetings).

III) Office Infrastructure & Stakeholder Management

  • You are the interface with external service providers (landlord, cleaning, suppliers) and ensuring the office is always in impeccable and safe condition.
  • You manage IT Hardware: Administration of all IT equipment (Macbooks, iPhones, monitors, printers) including contract management and asset inventory.
  • You ensure the efficient processing of all incoming physical mail and packages (opening, scanning, distribution, and inventory).

 

Your profile / What you’ll need:

You are the perfect fit if you bring the following qualities and experience:

  • Strong Service and Hands-on Mentality: Ideally experience in a customer-oriented service sector (e.g., hotel/hospitality industry, high-level administrative support) – you offer service rather than waiting to be asked.
  • Excellent Diligence and Discretion: High reliability and meticulousness are essential for organizing sensitive Board Meetings and managing documents.
  • You enjoy planning, think proactively, and possess sound business acumen.
  • Outstanding organizational skills and the ability to turn chaos into structure.
  • Experience working with Apple products and aptitude for quickly adopting new software and technologies.
  • Sense of Design & Order: You have a keen eye for detail and can convince others to share your vision of an organized and clean office.
  • Fluent German and English skills are a must.
