Compensation range: $1800 - $2200 AUD / Monthly

Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Role Overview: We are seeking a highly organized and tech-savvy Technical Admin / CRM Support Specialist to support the growth of our business through strong administrative execution and CRM management.

This role sits at the intersection of operations, marketing, and technology — supporting workflow management between our MTE App (Everfit platform) and Hapana CRM.

The ideal candidate is not necessarily an expert in every platform but is a strong technical administrator who can confidently manage systems, data, reporting, and backend processes with accuracy and efficiency.

Key Responsibilities: 
CRM & Systems Management

  • Manage and maintain Hapana CRM (critical requirement)
  • Support data syncing and workflows between the MTE App (Everfit platform) and Hapana
  • Maintain accurate member/customer records
  • Monitor automations, tagging, segmentation, and CRM hygiene
  • Troubleshoot basic CRM/system issues and escalate when needed

Technical Administration

  • Perform accurate data entry, database updates, and system clean-ups
  • Generate reports using Excel and Microsoft Office tools
  • Create dashboards and performance reports for leadership
  • Assist with process documentation and workflow improvements

Marketing & Business Support

  • Support campaigns inside Meta Business Suite
  • Assist with lead tracking, campaign monitoring, and CRM integration
  • Ensure lead flow from Meta into Hapana is functioning properly
  • Provide backend support for growth initiatives and member communications

Leadership Support

  • Execute tasks and projects delegated by senior leaders
  • Prioritize multiple requests while maintaining accuracy
  • Act as a reliable backend support partner to leadership

Requirements

  • Strong experience with Hapana CRM
  • Solid understanding of CRM systems and database management
  • Proficiency in Microsoft Excel (reporting, formulas, data cleaning)
  • Strong knowledge of Microsoft Office Suite
  • Confident user of Meta Business Suite
  • High attention to detail and data accuracy
  • Excellent organizational and time management skills
  • Ability to follow direction from multiple senior stakeholders
  • Strong written and verbal communication skills

Preferred (Nice to Have)

  • Familiarity with Everfit platform
  • Experience supporting fitness, membership, or service-based businesses
  • Basic understanding of CRM automations and integrations
  • Experience supporting growth or marketing operations
