Role Overview

We are looking for a Marketing & Administrative Assistant to support both marketing execution and day-to-day operational needs of the Account Management team. This is a hands-on, execution-focused role that combines visual/marketing support with strong administrative, coordination, and follow-up responsibilities. The ideal candidate enjoys keeping materials organized, supporting client-facing teams, and ensuring everything runs smoothly behind the scenes.

This role plays a key part in enabling Account Managers to focus on client relationships, while also ensuring marketing assets are visually polished, up to date, and easy to use.

Key Responsibilities

  • Marketing & Visual Support
    • Create, edit, and update marketing and sales materials using Canva, including templates, exports, and print-ready files
    • Manage and maintain sales and marketing toolkits, including videos, collateral, and downloadable customer assets
    • Organize and maintain digital marketing libraries so materials are easy to find and access
    • Update presentations as needed and communicate new versions or changes via Slack channels
    • Support social media content, including post creation, basic graphic design, and scheduling
    • Assist with website content updates and basic maintenance tasks
    • Coordinate approvals and ensure brand consistency across all marketing materials

  • Administrative & Account Management Support
    • Obtain and forward floor plans to internal stakeholders as requested
    • Schedule customer meetings, customer dinners, onsite visits, business reviews (BRs), mid-pilots, and internal meetings
    • Follow up with customers to confirm attendance and responses to invitations
    • Coordinate logistics for customer dinners and events, including restaurant bookings, headcounts, and confirmations
    • Support Account Managers with day-to-day administrative needs

  • Expense, Budget & Travel Management
    • Manage Snappy gifts budget ($1,500 per quarter)
    • Review, update, and submit Account Managers’ expense reports through Expensify on a regular basis
    • Book, update, and manage travel arrangements for Account Managers through AMTRAV

  • Data, CRM & Reporting Support
    • Help keep deals, accounts, and contacts accurate and up to date in CRM systems
    • Research, update, and upload operators, communities, and contacts for operator portfolios
    • Track event attendees, manage RSVPs, and maintain attendance records for events such as Argentum




Requirements

Must-Have Qualifications & Skills

  • Experience working with Canva for marketing or visual content
  • Previous experience in an administrative, sales support, or coordination role
  • Strong organizational skills and high attention to detail
  • Ability to manage multiple tasks, assets, and deadlines simultaneously
  • Comfortable coordinating meetings, events, travel, and follow-ups
  • Familiarity with Slack and clear written communication
  • Ability to work independently and manage time effectively
  • Advanced English

Preferred / Nice-to-Have Skills

  • Experience supporting Sales or Account Management teams
  • Familiarity with Expensify and CRM systems
  • Experience with Adobe tools (Illustrator, Photoshop, or similar)
  • Basic video editing knowledge (Adobe Premiere or similar)
  • Familiarity with Google Suite (Docs, Slides, Drive)
  • Experience with project management tools such as Monday.com
  • Understanding of LinkedIn as a primary content and social platform
  • Exposure to content planning and basic budget tracking
