Position Summary
The primary responsibility of this position is to manage the machine rebuild process from quote to invoice, while regularly and accurately communicating with internal and external customers in both Indiana and Michigan. Consistency out of each branch is a very high priority. These customers include rebuild customers, shop operations, sales staff, and warranty analysts.
Position Duties/Responsibilities
Primary Responsibilities:

Focal Point for Communication – The rebuild process manager (RPM) will be the “air traffic controller” for machine rebuilds. The RPM will manage the overall rebuild pipeline from inspection and quoting to delivery and invoicing, including the following responsibilities:

Inspection and Quote – The RPM coordinates with sales, standard jobs, and machine inspectors to schedule and prioritize rebuild quotes, ensuring customer approval is received before scheduling rebuilds into the shops.

Rebuild Scheduling – The RPM coordinates machines coming into the shop and communicates this with sales, shop operations, field service, trucking companies, and heavy rentals (as necessary). The RPM will own the overall rebuild schedule for both states and will manage the pipeline to maximize throughput.

Add Bill Communication – The RPM is responsible for add bill communication with the customer, making sure that the add bills are communicated clearly in a timely and ongoing manner.

Parts – The RPM assists our Parts team in optimizing our parts availability ahead of the rebuild start. This includes recommending order types and identifying alternate solutions for long-lead items (when necessary).

Warranty – The RPM registers the machine with Caterpillar for warranty purposes.

Team Meetings – The RPM runs periodic meetings with sales, service, parts, and standard jobs personnel to communicate pipeline status, discuss scheduling, and adjust the schedule accordingly.

Quality Control – The RPM assures that final shop and field follow quality checks have been performed. The RPM tracks and communicates the status of our quality back to the rebuild team.

Machine Delivery – The RPM coordinates machine delivery with outside trucking companies, field service, and outside vendors to ensure prompt and accurate setup of the machine. Any post-delivery issues flow through the RPM for resolution.

Invoice Review – The RPM reviews invoices prior to customer review for accuracy to the quote and the customer expectation, working with the shop to resolve any issues.

Post Mortem Review – The RPM performs the profitability analysis of machine rebuilds, identifying areas for improvement in quality, communication, cost, and turnaround time.

Position Requirements
Required:
- Associate’s Degree or equivalent experience
- 5+ years’ experience in Parts and/or Service Operations
Preferred:
- 2+ years’ experience in project management
- Bachelor’s Degree in Engineering, Marketing, or Business
- Caterpillar Product Support Programs experience
