About the Role

The Logistics & Procurement Officer at ARK directly supports and enables the project team to achieve their objectives while minimising operational, commercial, and compliance risks. Collaborating closely with the heads of department, the regional procurement manager, the project manager, and the project team, this role provides support services, including, but not limited to, administration, procurement, logistics, travel, and compliance guidance, to support and enable project objectives. 

What you'll be doing

Key Responsibilities: 

  • Support project teams during planning phases, including identifying procurement and logistics needs, preparing procurement plans, and ensuring alignment with project timelines and donor requirements. 
  • Issue Purchase Initiations, CBAs, RFQs, RFPs and other competitive tenders in line with internal procurement policies and procedures. 
  • Lead bid evaluation committees and guide other panel members. 
  • Ensure that procurement is carried out in a transparent manner and in compliance with internal policies by staying informed of donor policies and procedures. 
  • Draft contractual documents, including POs, SPAs, LTAs and CDOs. 
  • Review and provide guidance to project staff on SOWs and SSJs. 
  • Ensure accurate SharePoint filing of procurement documentation. 
  • Track supplier payments and submit payment requests on SharePoint. 
  • Responsible for project inventory in accordance with asset management policies and procedures. 
  • Support emergency or urgent procurement requests, ensuring rapid yet compliant procedures under the supervision and guidance of the Procurement Manager. 
  • Handle project petty cash, including disbursements, record-keeping, and monthly reconciliation on ARK’s systems in line with finance and compliance procedures. 

Other Responsibilities:

  • Organise the provision of project vehicles and prepare all necessary paperwork and records in line with the internal vehicle and driving policy. 
  • Oversee project travel bookings and conference organisation. 
  • Logistics & Procurement induction training to new staff as required. 
  • Assist with office management as surge capacity or absence cover.  
  • Handle the office petty cash, including disbursements, record-keeping, and monthly reconciliation on ARK’s systems in line with finance and compliance procedures. 
  • Receive and verify the accuracy of shipments from suppliers for project deliveries. 
  • Other duties as reasonably required. 

Requirements

Essential:   

  • High school diploma.
  • Very good command of written and spoken English and Arabic. 
  • Ideally, at least 1-2 years of working in a similar administration/procurement role.
  • Experience of working in a grant-funded environment or working in a compliance-focused organisation.  
  • MUST have the right to reside and work in Jordan. 
  • Competent user of MS Office, SharePoint, and other SAAS systems. 
  • Attention to detail. 
  • Flexibility and ability to work under pressure with tight deadlines. 
  • Ability to set priorities, organise time efficiently and work independently on several tasks simultaneously. 
  • Must be able to maintain the highest level of confidentiality regarding work-related information. 
  • Very good interpersonal skills. 

Desirable: 

  • Bachelor's degree in a relevant field such as Business, Supply Chain, or International Studies 
  • Experience working on Global Affairs Canada, USG or HMG-funded projects. 
  • Experience of working in a Police, Military, Medical or other uniformed service.  
  • Recognised vocational qualifications in procurement or administration with a professional body.
