Role Overview


We are hiring a Logistics & Procurement Coordinator who owns outcomes.

This role is responsible for keeping materials flowing, shipments moving, and issues closed. You will manage procurement, international shipping, and supplier coordination in a small, fast-moving organization where clarity, follow-through, and initiative matter more than complex systems.

This role requires comfort working without a full ERP. You will build simple, reliable processes using available tools and ensure orders ship correctly and on time. Waiting for perfect information or letting issues sit unresolved is not acceptable.

You will work closely with production, warehousing, and project management to maintain high service levels and predictable execution.

Key Responsibilities


Procurement & Inventory Management

  • Source and purchase high-value materials and components for active and upcoming projects

  • Own procurement timelines to ensure materials are available when needed

  • Maintain clear visibility on orders, lead times, and inventory using practical tracking tools

  • Coordinate with internal teams to align procurement with project schedules

Logistics & Shipping

  • Manage inbound and outbound international shipments end to end

  • Prepare, review, and submit shipping and customs documentation accurately and on time

  • Coordinate with logistics partners, schedule pickups, track shipments, and resolve issues quickly

  • Operate in a low-volume, high-consequence shipping environment where accuracy matters

Supplier Management

  • Identify, select, and negotiate with suppliers to balance cost, quality, and lead time

  • Monitor supplier performance and address issues directly and early

  • Build working relationships with vendors and logistics partners that support reliability

Cross-Functional Collaboration & Communication

  • Communicate shipment status, risks, and changes clearly and proactively

  • Work closely with production, project management, and warehousing to keep priorities aligned

  • Escalate problems early with proposed solutions, not open-ended questions

Ideal Candidate

  • Proven experience owning procurement and logistics tasks end to end

  • Strong understanding of international shipping, customs documentation, and trade compliance

  • Comfortable operating without a full ERP using tools such as Excel, ClickUp, and shared trackers

  • Clear, direct communicator who updates stakeholders without prompting

  • Highly organized, detail-focused, and able to prioritize independently

  • Fluent in English, business-level Dutch

  • HBO degree in Supply Chain, Logistics, Business, or equivalent practical experience
