The Loan Officer Assistant (LOA), also referred to as a Loan Partner, is a core production role responsible for building, validating, and delivering complete, compliant loan files from application through underwriting readiness. This position owns the accuracy of the 1003, documentation, disclosures, and file setup, ensuring loans are positioned for efficient underwriting decisions—including TBD approvals—while allowing the Loan Officer to focus on sales execution and relationship growth.
This is an execution-driven role that directly impacts cycle time, pull-through, loan quality, and branch profitability.
Core Responsibilities
Loan Setup, File Readiness & Underwriting Submission
- Review AUS findings and underwriting requirements
- Request, collect, and track outstanding borrower documentation through Loan Launch and email
- Review and update the 1003 after document receipt, ensuring accuracy of income, assets, liabilities, and gift funds
- Confirm borrower identity information (name, DOB) matches government-issued ID
- Upload, label, and organize all documentation accurately within the loan file
- Re-run DU/LP as needed based on updated documentation
- Prepare clean, complete loan files that meet underwriting submission standards
- Submit TBD and full loan files to underwriting once documentation and AUS findings are satisfied
- Manage incomplete files and resolve deficiencies prior to submission
Income, Asset & Down Payment Review
- Confirm income sources and documentation align with AUS findings and program requirements
- Confirm assets and down-payment sources, including proper documentation of gift funds
- Identify inconsistencies or gaps and resolve prior to underwriting submission
Disclosure & Fee Management
- Input and verify fees for initial disclosures
- Send initial disclosures to borrowers in compliance with regulatory timelines
- Upload and track signed disclosures
- Ensure all disclosure requirements are met prior to underwriting submission
Contract & Loan Detail Review
- Review purchase contracts, key dates, EMO, and contingencies in Encompass
- Review FHA/VA contracts for required inspections, well/septic, and program-specific items
- Add and maintain all required file contacts (borrower, realtor, title company, account manager, etc.)
- Complete loan submission templates accurately and completely to support underwriting review
Required Skills & Competencies
- Strong working knowledge of mortgage documentation, AUS, and underwriting requirements
- High attention to detail and file accuracy
- Ability to manage multiple loans, deadlines, and priorities simultaneously
- Proficiency with Encompass and borrower-facing systems
- Strong organizational, execution, and problem-resolution skills
- Ability to work independently within defined processes and expectations
Performance Expectations
- Clean, submission-ready loan files with minimal underwriting conditions
- Accurate 1003s and documentation supporting first-pass underwriting decisions
- Timely and compliant disclosures
- Consistent adherence to service-level timelines
