Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Who The Client Is: The client is a boutique advisory firm that works closely with high-net-worth families and private clients in Australia. They provide tailored advice on wealth management, asset protection, trusts, and succession planning, helping clients navigate complex financial and legal matters while securing their long-term legacy. The team is collaborative, professional yet approachable, and focused on delivering practical solutions for sophisticated client needs.

Role Overview: We are seeking a Legal Operations Assistantto keep the well-developed legal systems running smoothly. If you like owning the admin side of a small, serious legal practice and making sure nothing falls through the cracks, keep reading.

Key Responsibilities: 

You will be the operations backbone for the consulting practice and a go-to link between the lawyers.

The role will require you to:

  • Set up new matters and onboard clients
  • Manage calendars and meetings
  • Format and manage documents
  • Run invoicing
  • Make sure files are opened, maintained, and closed properly

 

You’ll work closely with the Founder and our Head of Legal.

What You’ll Be Doing Day‑to‑Day:

  • New matters & onboarding
    • Open new files in the practice system and run basic conflict checks
    • Prepare and send cost agreements/engagement letters
    • Follow up on signed agreements and initial client information
    • Set up digital folders and naming for each matter

  • Calendar & meetings
    • Book internal scoping/review sessions with the Head of Legal
    • Organise client meetings (Zoom/in‑person), send invites, directions and reminders

 

  • Documents & formatting
    • Format letters, advice, deeds, resolutions, minutes and packs in firm style
    • Prepare execution versions of documents (print / PDF / DocuSign)
    • Print, assemble and post documents as needed

 

  • Mail, office & supplies
    • Log all incoming/outgoing mail (mail registry)
    • Arrange couriers / Express Post and track key deliveries
    • Maintain and order stationery and basic office supplies

 

  • Billing & trust admin
    • Draft invoices based on agreed fees and milestones
    • Send invoices, track payments, and follow up with polite reminders
    • Process trust receipts and simple reconciliations under instruction
    • Prepare basic trust/fee reports for sign‑off

 

  • File management & closure
    • Save all key emails and documents in the correct file
    • Keep a simple “matter status” list updated (open/in progress/ready to bill/closed)
    • Finalise and archive closed files according to policy
    • Send closing/thank‑you emails where appropriate
    • Triage and facilitate leads in conjunction with the Head of Legal

Requirements

  • Must have professional services admin experience, preferably in the legal/law industry.
  • Confident with MS Office / PDF editing / word-processing / document management systems
  • Take pride in tidy files, robust processes and ownership of quality
  • Communicate professionally with clients and colleagues
  • Enjoy being the person who “just makes things work”

You need to be organised, reliable, and willing to own the admin side end‑to‑end with full support.

This is a remote role that will be set up as an independent contractor engagement.
