Job Description

Legal Administration: with a high level of attention to detail, make sure that documents and files are managed correctly, and that our online platforms and calendars are updated and managed on a daily basis.

Scheduling and coordination: locate the best court reporters, legal videographers, and interpreters worldwide using our proprietary database, and schedule them for remote hearings and depositions. You should have strong project management skills, experience managing a job calendar, and the ability to work with legal professionals.

English-language customer service and sales: assisting lawyers and legal professionals with their service orders, selling services to them via email and telephone, and providing industry-leading customer support in English.

Production and operations: ensure that transcripts and legal video are produced and delivered correctly and on-time

Technical support and management of diverse software tools: operate court reporting and legal software platforms, including exhibit management software, scheduling and calendaring software, production software, etc. Strong technical skills are a must.

Zoom hosting and technical support: help attorneys participate in virtual or hybrid hearings and depositions by setting up zoom meetings and hosting the meetings, including complex scenarios such as managing breakout rooms, managing screen shares, providing technical support, managing cloud recordings, etc.
- Working with freelance Zoom hosts and jumping in to help when required.
- Prior experience in arbitration hearings, depositions, or the court reporting industry is highly desirable.

Sales and Client Interaction Components: Interested prospects fill out forms requesting more information about the services. You will respond to these inquiries and effectively present and explain the services to potential clients. This involves confident client interaction and addressing questions about the offerings. The sales aspect is not a hard sell, as prospects are typically already interested in the services.
Requirements
- At least 3 years of legal administrative experience, with exposure to supporting U.S. legal administration virtually.
- Experience in working for United States law firms to understand the culture and basic legal concepts like depositions.
- Have fluent, business-legal spoken and written English.
- Have prior experience in legal administration -- such as legal secretary or paralegal
- Have prior experience with Zoom, running and configuring virtual depositions or legal proceedings.
- Must be familiar with and skilled in Zoom hosting, including advanced features such as breakout rooms and screen sharing. (This is not primary daily responsibility but serves as a secondary function when needed)
- Be technically savvy, with the ability to understand and master new software tools and technologies quickly and easily. Have a strong knowledge of basic IT principles and best practices. Formal training is not necessary, but practical know-how is a must.
- Be intelligent, well-written, professional, extremely organized, and with a very high level of attention to detail.
- Be able to respond quickly and professionally to emails at any time, day or night, this is a crucial requirement in ensuring that our clients receive the best service in the industry.
- Basic IT troubleshooting skills are expected for simple issues like camera setup and internet connection problems rather than advanced network or permission support.

Role Clarifications & Guidance
Zoom Hearing Facilitation
- Prior experience hosting Zoom sessions is an advantage but not strictly required (does not need to be for legal proceedings).
- We are open to strong legal admins without deposition experience, as training will be provided on deposition-specific workflows.
- Preference will be given to candidates with strong IT, tech, or tech support skills.
After-Hours Communication
- This role does not require 24/7 availability.
- After-hours responses are expected only for urgent or exceptional situations.
- Standard working hours remain aligned with the Pacific Time zone.
- Candidates with legal backgrounds should be comfortable with occasional after-hours communication, as this is standard when supporting high-value legal cases.
