Knowledge Document Controller - 12 month FTC

The opportunity: 
Wifinity seek a highly organised and detail-oriented Knowledge Document Controller for 24 hours a week, on a 12 month FTC. The role will be to manage, maintain, and continually improve both technical and non-technical documentation across the organisation. This role is responsible for ensuring all documentation is accurate, current, accessible, and  compliant with relevant ISO standards. 

Key areas of focus:

Document and Content Management.

  • Manage, maintain, and control all project and organisational documentation, ensuring content is accurate, up to date, and readily accessible. 
  • Create, review, and refine detailed technical specifications to support project development and implementation. 
  • Own onboarding materials to communicate and embed corporate changes and standards. 
  • Implement and maintain robust document version control, approval, and archiving processes. 
  • Administer the organisation’s document control framework within Confluence, including tagging, categorisation, permissions, and access controls. 

ISO Standards Management 

  • Ensure all documentation complies with ISO 9001 and other applicable ISO standards. 
  • Regularly review and audit documentation to confirm compliance, identifying gaps and implementing corrective actions where required. 
  • Support ISO certification and surveillance audits, including preparation of documentation, audit participation, and follow-up on non-conformances. 

Quality Control and Compliance 

  • Conduct routine quality checks and audits to ensure documentation is complete, accurate, and consistent. 
  • Collaborate with internal stakeholders to promote adherence to documentation standards, procedures, and governance frameworks. 
  • Ensure documentation aligns with company policies, regulatory requirements, and industry best practices. 

Training/Support/Best Practice 

  • Provide training and ongoing support to staff on the effective use of Confluence and document control processes. 
  • Define, document, and promote best practices for documentation creation, storage, and maintenance. 
  • Act as the primary point of contact for document control and ISO-related queries, providing clear guidance and support to team members. 

About you:
The ideal candidate will have strong experience in document and knowledge management systems, particularly Confluence, a sound understanding of ISO compliance requirements, and previous experience working within the telecommunications sector or a similarly regulated environment. We are looking for someone who has:

  • Attention to Detail: Demonstrates a high level of accuracy and consistency in document creation, review, and control. 
  • Communication Skills: Strong written and verbal communication skills, with the ability to collaborate effectively across teams. 
  • Technical Proficiency: Confident user of Confluence and other document and knowledge management systems. 
  • Problem Solving: Proactive in identifying documentation or compliance issues and implementing practical solutions. 

Qualifications & Experience 

  • Proven experience creating and maintaining technical specifications and structured documentation. 
  • Experience working within the telecommunications sector, or a strong understanding of relevant industry standards, practices, and trends. 
  • Demonstrable experience in document control and managing documentation systems, preferably using Confluence. 
  • Experience operating in a regulated environment and managing compliance-related documentation. 
  • Proficiency in Microsoft Office, Confluence, and related productivity tools. 
  • Working knowledge of ISO standards, including ISO 9001, 14001, 45001, and 27001. ISO Auditor certification is desirable but not essential.
