YOUR TASKS

  • Be the friendly first point of contact by welcoming and supporting clients and guests and act as a point of contact for Team.
  • Handle incoming and outgoing mail, manage email correspondence, and keep files and documents organised and accessible.
  • Booking and coordinating business travel and managing travel expense reports and supporting the leadership team.
  • Preparing and following up on meetings, including organising documents and presentations. 
  • Coordinate calendars and schedule meetings, conferences, and events – including invitations, venue booking, catering, and technical setup.
  • Check and process expense reports, support with incoming invoices, and assist on other finance-related topics. 
  • Assist with office operations: order supplies, coordinate external suppliers, monitor deliveries and returns, and help ensure the office runs smoothly.
  • Prepare IT equipment for new starters, manage hardware hand-outs and returns, in collaboration with the internal IT team.
  • Actively contribute to internal projects and initiatives that strengthen collaboration and team culture.

WHAT WE EXPECT FROM YOU

  • You have completed a commercial apprenticeship or have a solid educational background in business administration/tourism management, ideally complemented by subsequent professional experience in reception or secretarial roles.
  • You are proficient in all MS Office applications, especially Excel and PowerPoint.
  • You have a quick grasp of concepts.
  • You work independently, can quickly integrate into new teams, and have a curiosity for new challenges.
  • You demonstrate high accuracy and attention to detail.
  • You are fluent in German and possess excellent proficiency in English.
