The role:

We are seeking a dynamic, enthusiastic and energetic individual to join our team as an Junior People & Office Operations (Maternity cover). The goal of this role is to manage the office and support people operations smoothly and effectively so that we can create an environment in which our people can thrive and do their best work.

This is a hands-on role for someone who is eager to get stuck in and take on a variety of tasks. In this multifaceted position, you will be responsible for ensuring the smooth running of our Fulham office, as well as providing the people team with operational and administrative support. 

The role would suit someone at the start of their career or further along in their career who is looking for a bit of flexibility and who thrives on working with people and building relationships. The ideal candidate will be someone who enjoys multitasking, focusing on a great variety of tasks & solving problems; is detail-oriented, organised, is ready to dive into different aspects of our operations and thrives on creating a fun, positive environment and bringing an infectious energy that lifts the whole team.

Specific Responsibilities:

Office Management - ensuring the smooth running of the Fulham office - this would include:

  • Ensuring the office environment reflects and enhances our culture and helps to foster collaboration
  • Owning office maintenance, troubleshooting facilities equipment issues to resolve in-house where possible, and coordinating with professional service providers as needed  
  • Liaising with contracted cleaners and maintenance suppliers to make sure the right level of service is being provided at the right times
  • Own facility compliance including health and safety, fire safety, first aid as well security in collaboration with our Security Working Group (SWG)
  • Maintaining ‘ready to use’ meeting rooms, ensuring Google Meet Kits are working effectively
  • Frontline IT troubleshooting for Google Meet Kits and company laptops, consulting our IT support provider and Google support as required. 
  • Supporting our French office as required
  • Answering calls, being the first port of call for our London office and providing all our guests with an incredible welcome and Adzuna experience

People Operations - this might include:

  • Supporting the People Team at various touch points in the employee experience  from the moment we first make contact with a potential candidate through the hiring, onboarding and development of our people
  • Owning our onboarding and offboarding tracker ensuring everything is completed thoroughly, accurately and on time
  • Taking on the role of ‘Administrator’ within various people systems and tools such as Google Workspace, CharlieHR, Workable, Deskbird, Slack, Microsoft licensing.
  • Playing a key role in the organisation and delivery of our annual Winter and Summer Week, as well as the annual Charity event
  • Joining the Social Committee and supporting the social team in the delivery of in-person and hybrid events
  • Supporting team members with administrative tasks around company presentations, visits, events and exhibitions
  • Being the ‘go to person’ for office and people operations queries.

Requirements

We don’t like to put people in boxes, but you’re likely to be able to demonstrate experience of, or aptitude for much of the below:

  • Excellent administrative experience and skills
  • Solutions focussed with problem solving attitude
  • Incredible work ethic, drive, energy, and passion
  • A “People Person” with excellent internal and external rapport builder/ people skills and a track record of establishing strong relationships
  • Extremely organised with excellent attention to detail
  • Proficient with tools like MS office, gmail/google docs and linkedin - generally tech savvy
  • Fluency in English and strong communication skills, both verbal and written

It’s a bonus if you have:

  • Some previous office management/ IT experience
  • Some experience of organising internal/office events 
  • Some HR administration experience
