Role |

The Planning Junior Specialist is responsible for the daily execution of Ukio’s centralized planning function. You are the engine room of the operations team, ensuring that every booking, checkout, and maintenance task is assigned to the right person at the right time.

This is a high-energy role for someone who loves solving puzzles, working with data, and seeing the immediate impact of their work on the ground. You will support the Planning Manager in maintaining the systems and schedules that keep our apartments guest-ready.

Responsibilities |

Daily Planning Execution

  • Execute the 7-day and 24-hour planning cycles across all Ukio markets.
  • Assign daily tasks to coordinators, handymen, and cleaning providers based on the capacity model.
  • Monitor daily checkout volumes and flag potential overloads to the Manager before they become issues.
  • Coordinate "back-to-back" schedules to minimize apartment downtime between guests.

Ops Coordination and Ticketing

  • Process incoming visit requests from City Hosts and Guest Ops through the centralized intake system (Slack/HubSpot).
  • Track the status of open work orders, ensuring they are resolved within agreed SLA timelines.
  • Assist in the "Handover" process, ensuring new apartments are correctly set up in the system for their first guests.

Data and Maintenance

  • Keep the "Single Source of Truth" updated across all tools (HubSpot, Notion, and internal Task Managers).
  • Work effectively with the team’s availability calendar
  • Update and maintain the Skills Matrix, ensuring we know which field agents are available and what tasks they are qualified to perform.
  • Oversee stock availability of guest essentials and trigger replenishment alerts to ensure inventory records remain accurate and prevent shortages
  • Help the Manager test new features in our internal tech tools and provide feedback for improvements.

Reporting

  • Pull weekly data on key KPIs: checkout utilization, SLA adherence, and cleaning completion rates.
  • Identify recurring bottlenecks in the daily schedule and suggest process improvements.
  • Support the monthly stock reconciliation process across all markets.

About you |

  • 3–5 years of experience in business operations in logistics, hospitality. Versed in a fast-paced startup environment is a plus. 
  • Intermediate Excel/Google Sheets skills (vlookup, pivot tables), experience extracting and presenting data using BI tools (e.g. Omni, Looker, Metbase) with a CRM tool as the main source (ideally Hubspot). You should be comfortable looking at a spreadsheet and finding the "why" behind the numbers.
  • You don’t wait for instructions when facing a problem - you find a solution.
  • You are capable and well-versed in keeping clear track of everything in a chaotic and everchanging operational environment 
  • Fluency in English is required; other languages are a plus.
