We're expanding globally and we're looking for a IT Admin & Operations Lead join us in our London offices.

The Mission:

You'll own TCG's IT infrastructure and operations while progressively building our AI capabilities. This role combines hands-on IT administration, being the go-to person for technology across our UK office and supporting global employees, with forward-thinking AI enablement. You'll ensure our 100+ person organisation runs smoothly through excellent service delivery while identifying opportunities to automate repetitive work and empower staff with AI tools. Currently, the balance is roughly 60% IT operations, 40% AI initiatives, with the goal of shifting that balance over time through smart automation.

The Gearbox:

IT Operations & Support

  • Act as primary IT support contact for UK office and first-response for global employee IT requests
  • Manage employee onboarding and off boarding: device provisioning, account setup (Google Workspace, Salesforce, Slack, Aircall, etc.), access management, and deactivation
  • Order and track laptop shipments globally for new hires; manage inventory and cycle counts of IT equipment for local and remote employees
  • Troubleshoot hardware and software issues; provide employee training on tools and systems

Infrastructure & Office Technology

  • Oversee office networking, WiFi, and AV requirements
  • Provide AV support for events, conference calls, and company meetings
  • Maintain office infrastructure and continuously optimise setup for performance and reliability
  • Manage device lifecycle including OS builds, software provisioning, asset registration, Apple profiles, and device management (Kanji). 
  • Document and update IT procedures and SOPs as systems evolve

Vendor & Budget Management

  • Manage relationships with IT vendors, MSPs, and service providers
  • Oversee IT budget, procurement decisions, and purchasing processes
  • Lead security protocols, backup systems, and business continuity planning
  • Coordinate IT aspects of office setups, relocations, and infrastructure projects

AI Tools & Automation

  • Deploy and manage AI tools and custom applications for our teams
  • Provide training and support for staff using AI tools in their daily work
  • Build workflow automations (N8N, or similar) to reduce manual operational tasks
  • Create documentation and best practices for AI tool usage across the company
  • Identify opportunities where automation could eliminate repetitive IT processes
  • Act as guardian of IT governance and security standards - establish and enforce proper protocols for AI tools, access controls, and data handling

The Specs (What We'll Need From You):

  • 5+ years in IT operations with hands-on device management, user support, and infrastructure experience
  • Strong expertise in macOS administration, Google Workspace, and device management platforms
  • Proven experience managing global employee onboarding/offboarding and device logistics
  • Solid understanding of network infrastructure, office AV systems, and troubleshooting
  • Excellent communication and customer service skills with ability to support users at all levels
  • Self-sufficient problem-solver who can prioritise competing demands and work independently
  • Interest in AI tools and automation with willingness to learn and experiment
  • Familiarity with workflow automation tools (Make.com, Zapier, n8n)
  • Background in startups or fast-growing tech companies (50-200 people)
  • Experience deploying AI tools or LLMs in business settings
  • Experience with Kanji
  • Knowledge programming languages
  • Knowledge of Salesforce administration, CRM integrations, and global IT support
  • Understanding of compliance requirements and data protection (GDPR)
