I.             Job Summary

Action Against Hunger is seeking a detail-oriented and organized HR Intern to support the Human Resources department with filing, documentation, and administrative tasks. This role is ideal for someone who wants to gain hands-on experience in HR operations and compliance processes.

Purpose

The purpose of this internship is to support the Regional HR Office in reviewing the HR documentation and filing systems, supporting compliance and doing follow-up/ documents tracking to ensure personnel file completeness in alignment with global policies and standards.  The role will assist with HRIS profile creation and data verification of employees’ files.

Engagement

The HR Intern will work closely with the Regional HR Generalist to ensure proper HR documentation is achieved.

 

II.            Essential role responsibilities

1.     Personnel File Audit & Documentation Review

·       Conduct a structured review of selected personnel files using a standardized compliance checklist.

·       Audit review of personnel files to identity missing documents and update this in a summary tracking sheet.

·       Work with the Regional HR Generalist to find any missing documents and ensure all files have complete documents

·       Support proper reorganization and standardization of personnel files (both physical and electronic).

 

2.     HRIS & Data Support

·       Support with data verification between employees’ files and HRIS data

·       Assist in cleaning and validating employee data entries

·       Flag discrepancies to HR team for correction

III.          Partnerships and external engagement

·       Close work relationship with the Regional HR Generalist

·       May relate with the Country Office HR team from time to time

VI.           Physical Demands

•     While performing the duties of this job, the employee is required to sit for long periods and to concentrate on work, including typing, and turn out heavy volumes of work accurately, within short time frames under stressful situations in the context of a moderately noisy office with interruptions.

•     To travel to the field, the employee must attest to a level of physical fitness capable of enduring physically difficult, highly stressful situations which may include the necessity to walk long distances, to eat a limited diet and/or to reside in potentially uncomfortable housing or tents.

VII.         Working Conditions, Travel and Environment

·       The duties of the job require regular job attendance of at least five days per week. Must be available to work outside normal office hours or during the weekends as may be required.

·       Must be able to travel as required for standard domestic and international business purposes. While performing the duties of this job in the field, the employee may be exposed to precarious settings under high security risks and/or very basic living conditions and outside weather conditions, as well as to infectious diseases.

Requirements

I.              Required Qualifications and Professional Experience

·       Bachelor’s degree or equivalent in Human Resource Management, Business Administration or related field

·       Proficiency in Microsoft word and excel

·       Attention to details and good organization skills

·       High level of integrity and confidentiality,

·       Good analytical and documentation skills

·       Fluency in English is required

·       Basic understanding of HR compliance principles and working knowledge of HRIS is an added advantage
