We are seeking an experienced Benefits & Leave Administration Manager to join a Human Resources team within a professional services organization. This role is responsible for the full lifecycle management of employee benefits and leave programs, ensuring compliance, operational excellence, and a high-quality employee experience.
Responsibilities
Oversee day-to-day administration of all employee benefit programs.
Manage relationships with plan vendors, brokers, and third-party administrators.
Ensure accurate enrollment, terminations, beneficiary updates, and employee status changes.
Administer COBRA, disability claims, death claims, and retirement plan processes including rollovers, loans, and hardship withdrawals.
Ensure compliance with ERISA, ACA, HIPAA, and applicable federal and state regulations.
Prepare and file ACA/PPACA reporting (including 1095-C) at federal and state levels.
Manage annual retirement plan audits, compliance testing, QDROs, and required government filings.
Administer all leave of absence programs, including FMLA, ADA, short-term disability, and long-term disability.
Maintain accurate leave documentation and track employee status and benefits premiums during leave periods.
Serve as a point of contact for employees and managers regarding leave-related questions and requirements.
Evaluate existing benefits and leave processes and recommend improvements to increase efficiency and accuracy.
Partner with HR leadership to support employee education and manager training related to benefits and leave policies.
Develop and analyze reports related to benefits and leave utilization to support decision-making.
Support wellness and employee engagement initiatives tied to benefits offerings.
Audit vendor performance and billing accuracy.
Coordinate benefit invoice reviews and payment processing.
Support vendor renewals and negotiations in partnership with HR and finance leadership.
Serve as the primary subject matter expert for benefits and leave administration within the HRIS.
Ensure data integrity, troubleshoot issues, and support system enhancements.
Experience with UKG is a strong plus, though not required.
Qualifications
Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
7–10 years of progressive experience in benefits and leave administration.
Prior experience in a professional services environment (e.g., legal, accounting, finance, engineering, consulting, or similar) strongly preferred.
Demonstrated expertise in benefits compliance and multi-state leave laws.
Hands-on experience managing vendors, audits, and benefit program operations.
Strong HRIS proficiency and advanced Excel skills.
Exceptional organizational and communication skills, with the ability to explain complex benefits concepts clearly.
Proven ability to work independently, manage competing priorities, and meet deadlines in a fast-paced environment.
