Job Summary:
The HR Assistant is part of a centralized group within the HR team, that supports about 2,800 employees in the US and 1,500 international team members. He/she works closely with HR Central team members, the Director, Compliance & Operations and HR Business Partners to provide HR support to the organization and to their assigned HR Business Partner(s).
Responsibilities:
Performs routine tasks required to administer and execute human resource programs including but not limited to employment, compensation, performance management, and training & development
Handles routine HR policy, employment, HRIS, and process-related inquiries from employees and managers, referring complex and/or sensitive matters to the appropriate HR team
Assists in maintaining compliance with federal, state, and local employment laws and regulations, and recommended best practices; reviews policies and practices to maintain compliance.
Maintains accurate and up-to-date employee records in the HRIS system
Uses HRIS system to process employee transactions such as promotions, terminations, tuition reimbursement, and salary increases
Creates employment verification letters and completes employment verification forms
Facilitates the onboarding and offboarding process
Facilitates I-9 process to verify the identity and employment authorization of new employees hired within the US and ensures all forms are valid before expiration
Conducts New Hire Orientation
Works with HR Central team to respond to audits and data inquiries
Supports annual training through the Learning Management System
Prepares reports using HRIS and other systems
Proactively identifies and suggests HR process improvements
Participates in the administration of performance management, merit and bonus processes and compliance activities
Participates in projects with other HR team members on a variety of topics
Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law
Qualifications & Skills:
Bachelor’s degree in HR, Business or related field required, or equivalent work experience
1+ years in HR operations or a related administrative role preferred
Excellent verbal and written communication skills
Excellent organizational skills and attention to detail
Excellent time management skills with a proven ability to meet deadlines
Strong analytical and problem-solving skills
Ability to act with integrity, professionalism, and confidentiality
Proficient with Microsoft Office Suite or related software
Proficiency with or the ability to quickly learn HRIS, learning management & recruiting systems
Thorough knowledge of employment-related laws and regulations preferred
