TLDR

Support critical HR and IT operations ensuring smooth employee lifecycle processes and efficient IT systems management in a dynamic environment.

We are looking for a highly organized and detail-oriented Executive Assistant – HR & IT Operations to support day-to-day operational execution across both people and technology functions.

This role will play a critical part in ensuring smooth employee lifecycle processes while also managing core IT coordination tasks such as access provisioning, systems administration, and equipment logistics. The ideal candidate is process-driven, tech-savvy, and comfortable working cross-functionally in a fast-paced environment.

Approximately 60% of the role will focus on IT operations and 40% on HR support.

Key Responsabilities

IT Operations (60%)

  • Set up new hire laptops remotely. 
  • Manage user account provisioning and deprovisioning across internal systems (e.g., Google Workspace, Slack, ATS, HRIS, SaaS tools)
  • Maintain and audit access controls and permissions, ensuring security and compliance
  • Coordinate equipment logistics (ordering, shipping, retrieval, inventory tracking)
  • Serve as the first point of contact for basic IT support requests and escalate when needed. 
  • Support the implementation and administration of new tools and systems
  • Ensure smooth onboarding/offboarding IT workflows

HR Operations (40%)

  • Assist with employee onboarding and offboarding processes
  • Maintain accurate and organized employee documentation and records
  • Help with compliance tracking
  • Support internal HR processes, reporting, and documentation updates
  • Assist in improving operational workflows and process efficiency
  • Provide administrative support for employee experience initiatives

Requirements

  • 1+ years of experience in operations, HR coordination, IT support, or administrative roles
  • Strong familiarity with SaaS tools and user management systems (e.g., Google Workspace, Slack, Notion, HRIS, ATS)
  • High attention to detail and strong organizational skills
  • Ability to manage multiple workflows and prioritize effectively
  • Strong communication skills (written and verbal)
  • Comfortable handling confidential information
  • Proactive mindset with a focus on process improvement


Nice to Have

  • Basic understanding of IT security and access management best practices
  • Experience with remote team operations
  • Familiarity with tools like Okta, Jira, or similar
