HR Coordinator (part-time/fixed-term)

TLDR

Support the local HR team by managing HR-related documents, onboarding processes, and collaborating on global HR projects in a growing digital infrastructure company.

What You’ll Do

  • Structuring and organizing HR-related documents (collection of pre-onboarding documents, preparation of employment contracts, addendums, etc.) according to labor law requirements;
  • Provide support in onboarding, facilitate employee well-being, and ensure that everything is prepared for the first day;
  • Manage various HR queries and follow-up activities ad-hoc if needed;
  • Ensure that the internal employee database is up-to-date and integrate information;
  • Support the team in global HR projects that align with the global business strategy;
  • Collaborate with payroll providers, tax advisors, and other external parties;
  • Track if payroll data is integrated in an accurate way into the HRIS (salary increases, promotions, personal data changes, time-off, sick leave, etc.);
  • Ensure that all payroll-related events are tracked in a proper way and on time in order to meet payroll submission deadlines;
  • Provide accurate and timely support in relocation projects by collecting necessary documents and ensuring a timely and appropriate action;
  • Ensure that residence and work permit renewals are handled on time;
  • Conduct regular audits of HR data and processes to ensure compliance and accuracy;
  • Support the HR manager in strategic HR projects, initiatives, and ad-hoc tasks;
  • Receive and sort incoming mail and manage outgoing mail;
  • Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports;
  • Organize and budget team activities and company events in Poland.

What We’re Looking For

  • At least 1 year of experience in a similar role
  • Bachelor’s degree in HR Management, Business Administration, or equivalent education
  • Good knowledge of Polish labor law, social security and payroll tax regulations
  • Be fluent in English and Polish
  • Good knowledge of MS office tools and communication channels
  • Ability to work in dynamic, fast-paced interbational company
  • Be a self-starter with a proactive attitude and analytical approach in problem-solving
  • Strong organization skills and a good sense of time management
  • Team-orientated and open-minded for intercultural work experience
