We are looking for an HR Business Partner who will take ownership of our freelancer (B2B) collaboration model and manage the full freelancer lifecycle from sourcing and pre-selection, through contracting and onboarding, to ongoing coordination, performance feedback, and database maintenance.
This role can be structured as a part-time or near full-time collaboration (approximately 0.5–1.0 FTE), depending on the final scope
This role is process-driven and operational, with a strong stakeholder management component. Your key objective will be to ensure a scalable, structured and compliant way of working with freelancers, while supporting business stakeholders (TLs/PMs) in fulfilling project staffing needs efficiently.
Source and pre-select freelancers in line with the agreed operating model
Coordinate contracting and documentation (framework agreements, NDA, required consents and records)
Manage formal onboarding and ensure smooth start of cooperation
Coordinate the administrative side of ongoing cooperation in collaboration with Finance/HR
Collect post-project feedback, track quality, and update freelancer status accordingly
Own and maintain the freelancer database as a single source of truth (skills, seniority, rates, availability, statuses)
Ensure database accuracy and freshness by regularly validating availability and updating key profile details
Maintain cooperation history (projects, scope, quality ratings, TL/PM recommendations)
Ensure completeness of documentation and required records (contracts, NDA, consents)
Run periodic database reviews and initiate sourcing activities when capability gaps are identified
Receive and manage freelancer requests (brief, budget, timeline, required competencies)
Deliver shortlists and recommendations based on availability and skill fit
Ensure clear ownership split: HR owns the process and relationship model, business owns delivery outcomes
Maintain process standards, reduce operational risk, and ensure alignment with internal rules
Create and maintain process documentation and templates (brief, SOW/order, feedback form, checklists)
Monitor process efficiency (SLA, database coverage, quality signals, pool availability)
Support tool improvements related to workflow, tracking, and reporting (database, ticketing, status management)
Minimum 3 years of experience in HR (HRBP / HR Generalist / People Ops / Talent Acquisition with operational ownership)
Proven ability to manage HR processes end-to-end and deliver independently with high accountability
Practical experience working with freelancers / contractors (B2B), including process ownership and governance (contracting exposure is a strong plus)
Experience in conducting recruitment processes within the IT industry
Practical knowledge of the specifics of recruiting for technical roles is an advantage (e.g., Designers, Software Engineers, IT Project Managers, UX Researchers, UX/Copywriters, Analysts)
Strong process mindset: ability to build, document and consistently execute standards
Experience working with business stakeholders (TL/PM/Heads) and providing clear recommendations
Excellent time management and prioritisation skills (important due to part-time setup)
Confidence in working with data and tools (databases, trackers, workflow systems, reporting)
Fluent in Polish and English (C1 level) - daily communication and documentation
Experience in a project-based environment (agency / software house / consulting)
Familiarity with tools such as Jira Service Management, Notion, Sheets, ATS (e.g. Recruitee), HRIS (e.g. hiBob)
Cooperation with Finance/Legal teams on process and documentation standards
Background in talent pooling, vendor management or resource planning
Flexible work mode (100% remote, office or mix)
20 days of paid absecne
Private healthcare (Enel-Med)
Co-financing for a Multisport card
