We are seeking an ambitious and driven individual who enjoys working across multiple HR streams, handling sensitive information, and ensuring critical compliance processes run smoothly and accurately.

Role Responsibilities

  • Provide day to day administrative support to the Global Mobility and Security Vetting teams, ensuring all processes run efficiently and within agreed SLAs.
  • Act as a central coordination point between employees, hiring managers, HR partners, mobility vendors, and vetting providers, maintaining clear communication and facilitating timely issue resolution.
  • Coordinate and respond to HR queries via the internal HR Ticketing System.
  • Coordinate end to end administration of global mobility cases, including new assignments, extensions, amendments, and repatriations ensuing all assignment and relocation documentation is complete, accurate, and stored appropriately.
  • Support immigration and right to work processes, including document collection, tracking visa progress, and liaising with internal and external stakeholders.
  • Maintain accurate, audit ready records for visas, work permits, assignments, and compliance documentation.
  • Track case status, renewal timelines, and upcoming expiries, proactively flagging risks or required actions.
  • Administer vetting and background screening processes, ensuring checks are initiated promptly, progressed efficiently, and completed before onboarding or assignment start.
  • Track and monitor vetting progress, chase outstanding documentation, and maintain close oversight of candidate and employee clearance statuses.
  • Maintain accurate vetting records, ensuring full compliance with security, confidentiality, and data protection requirements.
  • Support periodic clearance renewals, re verifications, and compliance audits, ensuring all documentation is current, complete, and securely stored.
  • Work closely with the Security Vetting Lead to resolve delays, escalate risks, and ensure high quality candidate experience throughout the vetting lifecycle.
  • Update HR systems, trackers, and shared records, ensuring accuracy and consistency across HR, mobility, and vetting datasets.
  • Handle sensitive personal information with the highest level of discretion, ensuring all activities comply with GDPR and internal confidentiality policies.
  • Ensure both Global Mobility and Security Vetting processes meet audit, regulatory, and internal governance standards.
  • High level of accuracy and attention to detail, particularly when handling sensitive information.
  • Proven organisational ability and the capacity to manage high‑volume, time‑sensitive workloads.
  • Strong interpersonal and communication skills, able to engage confidently with employees and external partners.
  • Competent using Excel and comfortable working with multiple systems and trackers.
  • Ability to deliver high levels of performance and service excellence in a fast‑paced environment.
